Accounting software is a ledger that records income, expenses, invoices, and bills, then turns them into a profit and loss statement and a balance sheet.

An invoicing tool sends the bill and stops, while a ledger also reconciles the bank and has to survive a tax preparer. Stay on invoicing software if the only job is getting paid. Payroll can live beside the ledger, which is why payroll software is a separate choice once you have employees, and a second legal entity belongs in the enterprise accounting guide.

Each pick has a live product and a price, or an honest "no list price," read on the vendor's site on September 23, 2026. QuickBooks Online, when the accountant already lives there

QuickBooks Online is the default US ledger because preparers already know the file, so the fee buys a handoff they will accept. Simple Start lists at $38 a month, and the plan pages show 50% off for three months. Essentials is $85 a month, Plus is $140 a month, and Advanced is $340 a month.

Pricing

Simple Start is one billable user and two accounting firms, and Essentials is three billable users and adds bills and time. Plus is five billable users with inventory and project profitability, and Advanced is 25 billable users and three accounting firms. The August 1, 2026 change moved Essentials, Plus, and Advanced, and left Simple Start's list price. Bill Pay Elite is included on Advanced and costs $45 a month on the lower plans. Inventory is included on Plus and Advanced, or it is a $40 a month add-on below that.

The catch: Three people means Essentials, and a sixth user means Advanced.

Verdict

Use it when the accountant handoff is the cost that matters, and skip it when nobody else opens the file.

Xero, when the login count is the bill

Xero charges no per-user license fee, which is the argument against QuickBooks once a second person touches the file. Early lists at $25 a month after an introduction, Growing at $55 a month, and Established at $90 a month. New US organizations get 90% off the base plan for six months through September 30, 2026, and that discount skips add-ons and payment fees.

Pricing

Early allows 20 invoices and 5 bills, and app-partner transactions can count toward the invoice cap. Growing removes that cap, turns on automatic reconciliation, and extends the cash forecast from 30 days to 60. Established adds multiple currencies, projects, and a 180-day forecast. Payroll powered by Gusto is $36 a month plus $6 per employee or contractor. The page says prices increase from October 1, 2026, and it does not print the new amounts.

The catch: Early fails a busy month, so budget Growing unless you stay inside 20 invoices and 5 bills, and US payroll sits outside the base fee.

Verdict

Choose Xero when several people need the ledger, and move to Established when more than one currency is real.

FreshBooks, when the work is billed by the client

FreshBooks is built around a client list, which suits a consultant and frustrates a shop that tracks stock. Lite lists at $23 a month, with a solopreneur offer of $1 a month for the first year. Plus lists at $43 a month and Premium at $70 a month. Select has no published price, and a 30-day trial needs no credit card.

Pricing

Lite allows 5 billable clients, and Plus allows 50 and adds financial reports, receipt scanning, and accountant access. Premium allows unlimited clients, project profitability, and two team accounts. Extra team members are $11 a month, and payroll is $40 a month plus $6 a month per person. Cards are 2.9% plus a $0.30 fee, and a US bank transfer is 1%. Active and archived clients both count, so deleting frees a spot and archiving does not.

The catch: Lite has no accountant login, and a sixth client or a forgotten archived client pushes you to Plus.

Verdict

Use FreshBooks when you sell time, and leave it when the question is inventory.

Wave, when the software fee should be zero

Wave Starter has no subscription and still creates invoices, estimates, bills, and bookkeeping records with no stated cap. Pro is $19 a month, or $190 a year. Cards are 2.9% plus a $0.60 fee on Visa, Mastercard, and Discover, and 3.4% plus that fixed fee on American Express. On Pro, the first ten card transactions in the month drop the fixed fee, then it returns.

Pricing

Pro is per business, so three businesses mean three subscriptions. Automatic bank import and receipt capture sit on Pro. Advisors, the done-for-you bookkeeping service, starts at $149 a month and includes Pro.

The catch: The free ledger is real, and the bank feed is not on it, while card payments still fund Wave through the fixed fee.

Verdict

Stay on Starter while you categorize by hand, and buy Pro when you want the bank import.

Zoho Books, when the free plan has a revenue ceiling

Zoho Books is free only while financial-year revenue stays inside the $50,000 threshold on its pricing FAQ. Standard is $15 per organization per month billed annually, and $20 month to month. A 14-day trial is available, and free-plan support is email on weekdays.

Pricing

Free includes one user plus one accountant, 1,000 invoices a year, and 1,000 expenses a year, plus reconciliation and 50 receipt scans a month, and it does not list bank feeds. Standard adds feeds, sales tax, and three users, with 5,000 invoices a year. Professional is $50 a month paid month to month, with five users, multi-currency, and inventory. Extra users are $3 a month, or $2.50 billed annually. Add-ons other than scans are not on the free plan.

The catch: The revenue threshold or invoice 1,001 ends the free plan, and twenty clients invoiced every week is 1,040 invoices a year.

Verdict

Use the free plan while both limits fit, and price Standard as either one gets close.

Patriot, when payroll should sit next to the books

Patriot sells accounting and payroll separately, with US 1099 and 1096 forms in the accounting product. Accounting Basic lists at $20 a month and Premium at $30 a month, with 30 days free and 50% off for three months, and both plans include unlimited users.

Pricing

Premium adds estimates, permissions, recurring invoices, reminders, receipts, and subaccounts, and Basic does not. Basic Payroll is $17 a month plus $4 per worker paid, with free direct deposit. Full Service is $37 a month plus $5 per worker paid and files federal, state, and local taxes. Two employees on Full Service cost $47 before Accounting Basic. E-filing a 1099 can add a fee the page does not print, cards run through Stripe with no Patriot rate on the page, and the plans do not list inventory.

The catch: Basic cannot send an estimate or a recurring invoice, and a quote that skips the per-worker payroll fee is incomplete.

Verdict

Choose Patriot when US payroll and a simple ledger should share a vendor, and skip Basic if you send estimates.

Digits, when the ledger is supposed to code itself

Digits is AI bookkeeping for US entities, and a person is still needed when a lender wants reviewed statements. Essentials is $65 a month and Core is $100 a month. Pro is listed at $250 a month, and the compare table marks that column coming soon. A 30-day trial comes with no setup fee, and Digits says it is SOC 2 Type II.

Pricing

Plans include 12,000 or more bank, card, and payroll connections, plus profit and loss, balance sheet, and cash flow. Department and location tracking starts on Core, and each business needs its own subscription, so a second company is a second bill. Digits supports cash and accrual, does not file the return, and serves US entities only.

The catch: The fee is not a tax filing, a second company does not share the first subscription, and Pro is priced while still marked coming soon.

Verdict

Use Essentials or Core when you want the books coded between closes, and keep a preparer for the return.

Odoo, when accounting is one app in a larger suite

Odoo charges one per-user fee for every app, which helps when you also need inventory and costs more when the job was a ledger alone. One App Free has no subscription: one app and unlimited users. Standard's regular US rate is $31.10 per user per month billed yearly and $38.90 billed monthly. Initial users see $24.90 per user per month on yearly billing for 12 months. Custom is $61 per user per month billed yearly and $76.20 billed monthly, and it adds multi-company, Studio, and the external API.

Pricing

Portal users are free, and an accountant in the backend is a paying user, so that login adds a seat. A second app moves you to Standard, and extra companies or Studio move you to Custom. Hosting for custom code, implementation, and bill-scanning credits are extra. Three users at the regular yearly Standard rate are $93.30 a month before that discount.

The catch: One free app is not a finance stack, because every backend user becomes a paid seat when a second app is installed.

Verdict

Choose Odoo when you want the suite and will count seats, and stay on a flat fee if only you log in.

FreeAgent, when the filing goes to HMRC

FreeAgent is UK accounting with Making Tax Digital filings, so a US company should use a dollar-priced ledger. The regular price is £33 a month, or £330 a year, and monthly billing shows 50% off for six months at £16.50. It is free with a business account at NatWest, Royal Bank of Scotland, or Ulster Bank, or with Mettle if you transact at least once a month, and a 30-day trial is available.

Pricing

Sole traders get MTD for Income Tax, VAT, and Self Assessment, and limited companies also get PAYE filed to HMRC. Smart Capture includes 10 receipts a month, and unlimited capture is £5 a month before 20% VAT, and bank feeds and invoicing are included.

The catch: A US company gets no IRS filing here, and a Mettle account with no transaction in the month can lose the free path.

Verdict

Use FreeAgent when HMRC reads the file, and use a dollar-priced ledger if the company is American.

Sage Intacct, when the price is a module quote

Sage Intacct does not publish a monthly price. Sage builds the plan from the modules an organization needs, for its industry and size, and the next step is a quote. That is a different purchase from every printed row above.

Pricing

There is no public tier ladder, and the FAQ says monthly cost depends on the modules and prints no floor, so Intacct cannot be compared on price with Advanced or Odoo Custom until the quote arrives.

The catch: A figure you read elsewhere is not Sage's price, and without a number you can reject, you do not have an offer.

Verdict

Ask only after the printed plans are too small, and read the enterprise guide before treating a module contract as the only next step.

What you will actually pay

Wave Pro at $19 a month is $228 across twelve bills, against $190 a year, per business. Two Digits Core subscriptions are $200 a month once each US entity pays for its own plan.

How to choose

Start with the person who files the return. If they work in QuickBooks, pay the tier that matches the user count. If several people inside the company need a login, price Xero Growing before Essentials. If you bill a client roster and hold no stock, price FreshBooks Plus rather than Lite.

A zero subscription means Wave Starter or Zoho's free plan, and Zoho ends at a revenue cap and an invoice cap. Price Patriot's per-worker fee beside Accounting Basic if payroll should share the login. Price Digits per US entity, Odoo per backend user, and FreeAgent if the filing goes to HMRC, including the named-bank path. Common mistakes when picking a ledger

Budgeting Xero at Early leaves a cap of 20 invoices and 5 bills, and partner apps can consume invoices, so a normal month is Growing.

Buying QuickBooks for three people out of habit puts you on Essentials, while Xero Growing does not charge for those logins. The brand is worth the gap only if the preparer uses the file.

Treating FreshBooks Lite as the accounting tier skips reports and accountant access, which start on Plus, and archived clients count toward the five-client cap.

Assuming free Wave imports the bank confuses the ledger with the feed, because automatic import is Pro, billed per business, and card payments on Starter still carry a percentage plus a fixed fee.

Ignoring Zoho's ceiling means the free plan lasts while financial-year revenue stays within $50,000, with 1,000 invoices and 1,000 expenses, and bank feeds start on Standard.

Buying one Digits plan for two companies fails because Core is per business and the product still does not file the tax return.
