What is FreshBooks?

Cloud accounting and invoicing software for small businesses and freelancers

FreshBooks is a finance tool that we've reviewed as part of our directory. Here's what it does well, where it falls short, and whether it's worth your money.

How We Evaluated FreshBooks

We scored FreshBooks on five things: transaction accuracy, reporting depth, compliance features, integration with banks, and automation. Same rubric we use for every finance tool in the directory, so the scores are comparable.

That meant using the product, testing the features that matter most for finance work, reading the docs, and checking whether pricing is upfront or hidden behind a sales call. We also compared it against Xero and Aplos to see where it stands.

Key Features

What FreshBooks actually gives you:

  • Core Functionality: Purpose-built feature set for finance workflows
  • User Interface: Clean interface designed for productivity
  • Integration Support: Connects with popular tools in your stack

Pricing

FreshBooks doesn't list pricing publicly on their website, so you'll need to reach out to their sales team for a quote. That's fairly common for tools aimed at larger teams, but it does make it harder to evaluate quickly.

To give you a rough sense of the market, comparable finance tools like Xero and Aplos charge in the range of custom pricing to custom pricing/mo, which should help you calibrate expectations.

Pros and Cons

What we like

  • This is a tool built specifically for finance, which means the features are tailored to real use cases in this space rather than being generic functionality that sort of applies
  • It replaces hours of manual bookkeeping and data entry with automated workflows, which is the kind of improvement that compounds every single month
  • It focuses on doing one thing well rather than trying to be a Swiss Army knife, which usually means the core features get more development attention and polish than they would in an all-in-one platform

What could be better

  • Pricing isn't listed publicly, so you'll have to sit through a sales call just to find out if it's in your budget. That alone is a friction point for smaller teams
  • Getting the initial configuration right is critical. Mistakes in the setup phase will cascade through your books and create headaches that take much longer to fix than they did to cause
  • Larger organizations with complex requirements may find that some of the advanced features they expect from enterprise software are missing or underdeveloped

Who It's For (and Who It's Not)

Good fit: FreshBooks makes the most sense for finance teams and accountants who are drowning in manual bookkeeping, reconciliation, and reporting, and need automation to keep the books clean without spending hours on data entry every week. If that sounds like your situation, it's worth at least testing it out.

Skip it if: you're a sole proprietor with straightforward finances. A spreadsheet and your bank's built-in reports will get you through tax season just fine. In that case, you might want to look at Xero as a lighter-weight option.

Bottom Line

We gave FreshBooks 3.7/5. Does its core job well. Worth the investment if finance is central to your daily work. If you only need it occasionally, look at a simpler option.

In short: FreshBooks is a strong choice for finance teams and accountants who are drowning in manual bookkeeping. you're a sole proprietor with straightforward finances.

How FreshBooks works

FreshBooks is small-business accounting and invoicing software built around client billing rather than bookkeeping theory. The core loop is simple: track time and expenses against a client or project, turn them into a professional invoice with tax applied, take payment online (cards, ACH, digital wallets, buy-now-pay-later), then chase the invoice automatically with reminders and late fees. Around that sit expense capture from receipts and bank imports, estimates and proposals, retainers, mileage tracking, project collaboration, and tax-ready reports including Profit and Loss, Balance Sheet and Trial Balance. Double-entry accounting with a customisable chart of accounts, journal entries and bank reconciliation exists, but only from the second tier up. The vendor says it is used in more than 160 countries.

You pick a plan by billable-client count, connect your bank accounts so expenses import and categorise automatically, connect a payment processor to accept online payments, and invite your accountant (available from Plus) so they work in your journal entries and chart of accounts rather than in exported files. Day to day you log time or expenses against a client or project and pull them onto an invoice, or set recurring invoices and payment reminders and let them run.

Extensions come from the FreshBooks App Store, which the site describes as 100+ apps, with named partners including Zapier, HubSpot, Gusto and Square. Payroll is a separate paid add-on powered by Gusto and is set up inside FreshBooks. Team members are per-seat add-ons rather than included, so headcount changes your bill. Mobile apps cover receipt scanning and mileage while you are out.

Where FreshBooks wins

  • Invoicing and getting paid is the deepest part of the product: automated recurring invoices, payment reminders, online payment acceptance including ACH and BNPL, plus retainers and proposals.
  • Real double-entry accounting with bank reconciliation, journal entries, a customisable chart of accounts and Balance Sheet and Trial Balance reports, so it is not just an invoice generator.
  • Accountant access is built in from the Plus plan, meaning your bookkeeper works in the same file instead of trading spreadsheets.
  • Time tracking and expenses flow straight onto invoices, which is the entire point for hourly and project-based service businesses.
  • 100+ integrations via the App Store with named partners (Zapier, HubSpot, Gusto, Square), plus payroll offered as a first-party add-on.
  • A 30-day free trial and heavy introductory discounting (90% off for 3 months at the time of writing).

Where it falls short

  • The entry Lite plan is thin. It caps you at 5 billable clients and omits double-entry accounting, bank reconciliation and accountant access, which pushes most real businesses to Plus (50 clients) or Premium (unlimited).
  • Every extra user is a paid seat at $11/month. Only the quote-only Select plan includes complimentary team members, so a four-person shop pays list price plus $33/month.
  • Payroll is US-only. Powered by Gusto, it requires at least one W-2 employee, excludes US territories, and cannot be used for contractor-only payroll. It also costs $40/month plus $6 per employee on top of your plan.
  • Add-ons stack quickly. Advanced Payments is $20/month, payroll another $40 and up, and lower credit-card rates and phone payments only come with the custom-priced Select plan.
  • No free tier, only a 30-day trial, and the headline prices shown are promotional (regular list is $23, $43 and $70 per month).
  • No inventory management, so any business selling physical goods needs something else alongside it.

Who should use FreshBooks

Freelancers, agencies, consultants and other service businesses that bill by time, project or retainer are the clear fit. If you want invoicing, payments and books in one place with a bookkeeper looped into the same file, this does that job well. Plus is the realistic starting point for anyone with more than five clients, since Lite lacks both the client capacity and the accounting features most owners eventually need.

Look elsewhere if you sell physical products, because inventory is not part of the offering. Think twice if your team runs beyond a handful of people, since per-seat fees at $11 a head add up and only the custom-priced Select plan bundles seats. And if you are outside the US and assumed the built-in payroll would work for you, it will not.
