An AI tool for accountants is software that codes transactions, reads invoices, drafts the close, or answers a tax question from the file, and still leaves a person to sign the numbers.
Digits, Puzzle, and Xero replace the ledger, Booke AI sits on QuickBooks, and Blue J and DataSnipper never touch the general ledger.
How we chose
Toolradar's accounting category lists 247 tools, updated September 2026, and I ranked 10 a firm can buy for coding, documents, tax research, expenses, hospitality books, or audit testing. Plan names and prices come from each vendor's site on September 23, 2026. I did not run a month of client work in each product, no vendor paid for a slot, and this order follows what the firm pays, with ratings in Toolradar's guide.
Digits, the ledger I would move a willing client onto
Digits books banks, cards, and payroll, reconciles on a loop, and answers through Ask Digits, so move a US client onto it when you control the file and they will switch.
Who it's for: US files you can move off QuickBooks or Xero. Service is US entities only, so a Canadian or UK client would leave you paying for a ledger you cannot use.
On the public pricing page, Essentials is $65 a month, Core and Core for Firms are each $100 a month, and Pro is listed at $250 a month and marked coming soon. You get a 30-day trial and no setup fee, but each business needs its own subscription.
Partner plans are Starter at $35 a month, Tax Only at $25, and Low Volume at $10 for up to 250 transactions a year. Firm Free Books is the firm's own file, not a client. Tax Only and Low Volume hide the financials, schedules start on Core, Digits states SOC 2 Type II, and firms can run Agentic Close across clients.
The catch: On April 7, 2026 Digits announced outcome-based firm pricing: a client is billable only when at least 95% of transactions are zero-touch, and free if your team still does more than 5%. Confirm which model you were quoted, because the menu prices are still published and a messy file can erase the fee.
Default AI ledger for a US file you may move, once that pricing model is in writing.
Booke AI, when the client will not leave QuickBooks
Booke AI categorizes the QuickBooks Online bank feed, matches documents, and leaves an exception queue. Booke publishes no Xero price, so a Xero file needs another tool.
Who it's for: Books that stay on QuickBooks, not a NetSuite or Sage Intacct file, because this product is built for the QuickBooks feed.
AI Bookkeeper (Business) is $129 per business per month. A mid-cycle business is prorated, then included at renewal, firms get a quote for multi-client management and a white-label view, and Booke publishes no free trial, with QuickBooks still a separate subscription.
The catch: The published rate is not a firm discount, so twenty QuickBooks files at that rate are $2,580 a month until a quote says otherwise.
Right when QuickBooks is fixed, and the wrong default when you are free to move the file.
Botkeeper, the license price that falls as you add clients
Botkeeper sells one license per client. The pricing page lists AI categorization, automated bank reconciliation, automated journal entries, month-end review with anomaly detection, and a firm close tracker.
Who it's for: Firms heading past 10 licenses, not a single file that should start on Digits or Booke instead.
Monthly rates are $149 per license for 1-4, $109 for 5-9, $79 for 10-24, and $59 for 25 or more. Annual billing is 10% off, at $134, $98, $71, and $53. There is no free trial, so month-to-month is the alternative to that annual discount.
The catch: Four monthly licenses are 4 times $149, or $596, and five are 5 times $109, or $545, so the fifth license lowers the bill. Twenty-five clients on the annual top band are 25 times $53, or $1,325 a month. Botkeeper does not name QuickBooks, Xero, or NetSuite beside those rates, so confirm the ledger before you buy it as a QuickBooks plugin.
Strong past 10 clients once you have confirmed which ledger the license actually syncs.
Dext, the capture layer in front of the ledger
Dext pulls receipts, bills, and statements into accounting software and connects to 36 or more products. It is not a general ledger, so QuickBooks, Xero, or Digits still sits beside it.
Who it's for: Firms whose bottleneck is missing paper, with the ledger still running beside Dext.
Practice Essentials and Advanced bill per client per month, with a 10-client minimum, 13% off annual billing, and a plan-builder quote for the base. Add-ons are AI Assist at $7 per client, and data health plus Commerce Lite at $7.50 per client per month each, after a 14-day trial.
On the US business page, one annual card was $25.21 a month ($302.50 a year) for 250 documents and 5 users, on a slider, with annual billing up to 20% cheaper. Line items and supplier statements start at $20.50 a month or $0.50 a document, bank statements start at $13 a month or $0.32 a document, and storage after 100MB is from $4 a month, which is a single-company rate rather than a practice price.
The catch: Six clients still pay the 10-client floor, and AI guidance at that floor is $70 a month before the base. Past the document cap, uploads wait for the next bill or an upgrade.
Buy Dext for the paper, and quote the practice plan for your client count rather than the business slider.
Blue J, when the expensive hour is tax research
Blue J answers tax questions with citations and drafts memos, and it does not code a bank feed.
Who it's for: US tax practitioners whose costly hour is research rather than monthly bookkeeping.
The Individual plan is $1,498 a year per user, with a 7-day trial and no card. It includes US federal and state-and-local coverage, unlimited questions and uploads, inline citations, and SOC 2 Type II. The Team plan is contact-for-pricing and adds support, onboarding, usage insights, and SSO.
The catch: Do not multiply the Individual rate by headcount and call it a firm price. Individual is for sole practitioners, and a team needs the sales number.
Clearest tax-research buy here for a US solo who can buy the Individual plan without a sales call.
Puzzle, a startup ledger with a guarantee and fine print
Puzzle is for startups leaving QuickBooks, sold as software or as software plus a partner who closes the month. Non-AI options in that niche are in accounting software for startups.
Who it's for: Single-entity startups whose banks can connect, not a holding company that needs consolidation.
On puzzle.io/pricing, entry is $30 a month (1 seat, 25 lifetime AI credits), Core is $72 (5 seats, 25 lifetime credits), Complete is $120 (unlimited seats, 100 credits a month), and high volume is $360 (300 credits a month). Expert-reviewed Core, for up to $10,000 a month in expenses, is $171 and includes the software, with a try-for-free path.
The catch: The 50% faster-close refund needs onboarding inside 7 days, live API feeds, one full close on Puzzle, and a single entity, within 60 days. Entry and Core credits are lifetime, not monthly, so do not stack the Core software price on the expert-reviewed price unless the order form says so.
Best startup file here if the client will live in Puzzle and you can meet every refund rule.
Xero, JAX on the page and a promo that ends September 30
Xero is the mainstream cloud ledger, and its pricing page presents JAX as its AI finance partner. Xero publishes no separate JAX price, so budget the ledger plan and do not add an assistant line.
Who it's for: Clients who want a ledger an outside accountant can open, with no per-user fee, while a QuickBooks-only client means a migration.
US plans, checked September 23, 2026, are 90% off for 6 months if you buy by September 30, 2026. Early is $2.50 a month, then $25, Growing is $5.50 then $55, and Established is $9 then $90, with no per-user fee. Early caps the file at 20 invoices and 5 bills, and Growing drops those caps. Payroll, powered by Gusto, is $36 a month plus $6 per employee or contractor, so see payroll software if that fee is the real project.
The catch: Ten Early files are $250 a month after the promo, while during the discount those ten together cost the same as one file at the regular Early price. Ten that outgrow Early are $550 a month on Growing after the promo, and JAX still does not replace Dext or Blue J.
A sober ledger if the engagement letter quotes the post-promo price.
Expensify, cheap receipt capture with a billing trap
Expensify turns photographed receipts into reports. SmartScan is the product, and it will not run the firm, which is why wider card tools, including Ramp, are in our expense and spend guides.
Who it's for: Small teams that need a receipt export into the books rather than an AI close.
The pricing help page lists Collect at $5 per unique member per month, with no annual contract, for workspaces created on or after April 1, 2025, while older workspaces can stay on prior rates. Annual Control is $18 per member inside the committed size, plus $36 per active member above it. With the Expensify Card, annual Control can drop to $9, and pay-per-use Control matches that overage, or $18 with the card. Active seats include approvers, plus Copilot and Concierge actions, so approval alone can still be billed.
The catch: Collect bills every member, not every person who submits. Fifteen people are $75 a month even if six submit. The $9 rate is not list price, because it depends on card use.
Fine for a small team's receipts once you know if billing follows every member or only active ones.
Docyt, a published hotel price rather than a firm plan
Docyt covers bill pay, expenses, revenue reconciliation, and the close, and it advertises an Accountant Copilot for firms. The published number is the hotel plan, so a service-business book has no list price.
Who it's for: Hotels and multi-property hospitality, not a general CPA firm treating the hotel plan as its SKU.
Plans start at $299 a month, the rest depends on volume and reporting, and Docyt publishes no Copilot price, so the firm product is a sales quote.
The catch: That hotel figure is a floor, not a price for 15 mixed service clients, and using it as the stack price understates the quote.
Demo it for hospitality, and leave it off a mixed book of ordinary service clients.
DataSnipper, audit evidence in Excel, price on request
DataSnipper works in Excel, where entry covers document matching, form extraction, version comparison, and single sign-on. The middle plan adds Excel agents, disclosure agents, DocuMine, AI extractions, and an agent builder, and the highest plan is contact sales.
Who it's for: Audit teams on Excel workpapers, not monthly bookkeeping and not tax research.
The pricing page publishes no dollar amount, and agents sit on the middle plan rather than entry, so buying entry and expecting agents means the wrong tier.
The catch: No list price means no budget until a demo comes back with the tier that actually includes agents.

What a 10-client firm pays for this software
These are software fees, not salaries, from vendor pages on September 23, 2026.
Ten US clients. Ten on Digits firm Starter are $350 a month, and ten on Core for Firms are $1,000. Ten Booke files at the published rate are $1,290 a month before any firm discount. Botkeeper in the 10-24 band is $790 a month at $79, or $710 on the annual $71 rate.
Add-ons on a second invoice: Dext AI guidance at the 10-client floor is $70 a month and data health is $75, before the quoted base. Ten Xero Early files are $250 a month after the promo, and payroll on those files is a monthly fee per file plus a per-person charge.
Cards, and a service that competes with you: Ramp Free is $0 per user, Plus is $15 per user plus an unpublished platform fee, 20% off annually, with a 30-day trial, and 1099 filing is $0.65 a form. Common mistakes firms make when pricing this stack
Using a Booke price that is not on the page means twenty files at the published rate are $2,580 a month until the firm quote arrives.
Stopping at four Botkeeper licenses costs $596, while five cost $545, so the fifth client is what drops the bill.
Treating the Xero promo as the real price ignores a 90% cut for 6 months, and only if the client buys by September 30, 2026, after which Early is $25 a month and still capped at 20 invoices and 5 bills.
Treating Dext's $25.21 card as the practice price uses a business slider of 250 documents and 5 users at $302.50 a year in place of a 10-client quote plus add-ons.
