10 Best Cold Email Software Tools in 2026
Short answer: skip a per-seat platform for cold email. Instantly Growth at $47/mo when the names are already in a file and the mailboxes are what failed. Smartlead Base at $32.50/mo on yearly billing when you want a higher send cap on the cheapest plan. lemlist Email at $55/mo yearly when a new rep should not add a seat.
A sales platform that bills every rep is the wrong first contract if the work is cold email. Dupple data: Toolradar, our software directory, tracks 10 cold email tools (September 2026) on its cold email ranking. Every dollar below was read on the vendor's pricing page on September 24, 2026, and no vendor paid for a slot. Where those emails land after they leave the tool is covered in cold email deliverability.
Quick comparison

|---|---|---|---|
| Instantly | Many mailboxes, list already built | $47/mo Growth outreach | 1,000 uploaded contacts, fixed, not monthly |
| Smartlead | More sends on the entry plan | $32.50/mo Base, yearly | Verified leads cost extra until Unlimited Smart |
| lemlist | Email volume without a seat fee | $55/mo Email, yearly, 50,000 emails | LinkedIn steps are the per-user plan |
| Saleshandy | Sending plus a credit database | $34/mo Starter, yearly | 1 user, 2,000 active prospects, 6,000 emails |
| QuickMail | Unlimited users and LinkedIn on day one | $49/mo Starter | Trial needs a card and does not auto-charge |
| Snov.io | Credits, recipients, and warmup together | $29.25/mo Starter, yearly | Starter warms 3 mailboxes |
| Apollo | Names and a sequence on one seat | $49/user/mo Basic, annual | Free sending connects Gmail only |

| GMass | Mail merge from the Gmail tab | $29.95/mo Standard | $249 for the Standard year |
| Mailshake | A simple sequence, paid per user | $25/mo Starter, yearly | 1 address and 1,500 sends |
What cold email software does
Cold email software sends a sequenced email to someone who did not ask for it, then rotates mailboxes and warms them so the domain survives the volume. The name in the spreadsheet is a different purchase, and a dialer with call coaching is a third.
If you still cannot name the accounts, start with lead generation tools or AI lead generation. If the team already lives in a CRM cadence, the comparison is sales engagement platforms, and opt-in newsletters belong with email marketing software.
How we chose
Toolradar's cold email page evaluates 10 tools, updated September 2026, and sorts on review volume, which is why GMass leads it. The order below is what I would buy for a team sending this month. Prices are from each vendor site on September 24, 2026, nobody paid for a slot, and I did not run a private inbox test. Louis Corneloup, founder of Dupple and Toolradar, reviews this series for 720,000-plus readers, and the editors are named on the about page.
Instantly, when the mailboxes are the product
Instantly sells outreach, a credit database, and a CRM as separate subscriptions, so the sending plan does not include the 450 million-plus contact search.
Outreach Growth is $47/mo for 5,000 emails a month and 1,000 uploaded contacts, a finished list that stalls on a weekly upload. Hypergrowth is $97/mo for 125,000 emails and 25,000 contacts. Light Speed is $358/mo for 500,000 emails and 100,000 contacts. A 14-day trial, with no card, includes 250 uploaded contacts and 1,000 emails, and you upgrade when the tier is used rather than paying an overage.
The help center, updated July 17, 2026, says the uploaded-contact limit is fixed across campaigns, not refilled each month. Credits are a second checkout, and Nano is $9/mo for 150 credits. A done-for-you Google mailbox is $5/mo, a pre-warmed Google account is $10/mo, and a domain is $15 a year. Bought accounts pause after the trial unless outreach is paid.
The catch: Growth's Unibox is preview-only, so full in-app reply, webhooks, and the deliverability agent wait for Hypergrowth, and the contact cap does not empty itself.
Buy Growth for sending, and budget Hypergrowth before the next upload.
Smartlead, when the entry plan should send more
Smartlead prices send volume and a verified-lead allowance, not seats and not mailboxes, so a new login does not raise the bill. Every plan includes unlimited email accounts and unlimited warmup, and yearly billing is 17% off.
Base is $39/mo, or $32.50/mo billed yearly ($390 a year), with 6,000 sends and 2,000 stored contacts. Pro is $94/mo for 90,000 sends and 30,000 contacts, and it is the first plan with CRM, API, and webhooks. Unlimited Smart is $174/mo for 150,000 sends, unlimited contacts, and 50,000 verified prospect emails included.
Unlimited Prime is $379/mo for 500,000 sends, 170,000 verified emails, private infrastructure, and 3 client workspaces. A trial does not ask for a card, and verified prospect emails on Base and Pro are a $59/mo add-on. Client workspaces are $29/mo each from Pro up, and a dedicated server is $39/mo from Pro up.
The catch: Base has no CRM and no API, the verified emails next to Base are not included, and unused sends do not roll.
Take yearly Base for a test, then Unlimited Smart when verified leads would be a second subscription.
lemlist, when headcount should not multiply the bill
lemlist prices Email by workspace volume and Multichannel by the user, and the yearly toggle is 20% off. The help center, updated September 24, 2026, says the Email plan includes no monthly credits, so a found address is billed separately even with the 650 million-plus database on the card.
The 50,000-email tier is $69/mo, or $55/mo on a yearly bill, one workspace fee rather than a fee per rep, and the 100,000-email tier is $89/mo, or $71/mo yearly. Campaigns pause at the cap, upgrades apply immediately, and downgrades wait for the period to end.
Multichannel is $109 per user each month, or $87 on the yearly price, with unlimited emails, 5 sending addresses per user, and LinkedIn. A data add-on on the pricing page is $75/mo yearly for 10,000 credits, described there as 2,000 emails or 500 phones. Enterprise is annual, custom, and at least 5 seats. The pricing page offers a 14-day trial with no card, but the help article from that same day says the trial sits on Multichannel, and the Email plan does not include one.
The catch: Email and Multichannel cannot be switched from the billing button, and LinkedIn plus the 5-sender rule live only on the per-user plan.
Stay on Email until LinkedIn has to send itself.
Saleshandy, when the credit and the send share a checkout
Saleshandy shows a USD toggle. The prices below are that dollar view, with the annual figure on the card and a 7-day trial on each paid plan.
Starter is $34/mo billed annually ($408 for the year) or $41/mo monthly, with 1 user, 2,000 active prospects, 6,000 emails a month, and 1,500 lead-finder credits a month (18,000 if the year is paid up front).
Pro is $76/mo annually ($912) or $99/mo monthly, with 10 users, 30,000 active prospects, 100,000 emails, and 4,000 credits. Scale is $149/mo annually ($1,788) or $189/mo monthly, with unlimited users, unlimited active prospects under a fair-use policy, and a send control that opens at 200,000 emails a month and also lists 300,000 and 600,000. One credit returns a verified work email, a phone is 6 credits, and the email beside it is a seventh, so a phone list spends credits faster than email alone. An unverified result is $0, and outreach mailboxes are unlimited. A separate infrastructure add-on starts at $2.99 per mailbox each month on the annual fixed term, and a domain is $14 a year, and the page lists 852 million-plus contacts.
The catch: Starter is one seat and that email month. Do not assume the largest Scale send control costs the published Scale price until the selector shows the dollar.
Use Starter to test the waterfall, and price Pro before a second person joins.
QuickMail, when LinkedIn accounts should not be an add-on
QuickMail charges the workspace, not the seat. Starter includes unlimited email senders, unlimited LinkedIn accounts, and unlimited users, so teammates and LinkedIn are not add-ons. The 14-day trial requires a card and does not turn into a paid plan by itself.
Starter is $49/mo for 1 workspace, 1,000 uploaded contacts, and 5,000 emails a month. Growth is $99/mo for 25,000 uploaded contacts, 100,000 emails, and API access. Agency is $299/mo for 2 workspaces, 100,000 uploaded contacts, and 500,000 emails. Each workspace after those two costs the same as Starter, and webhooks start on Agency. Sending uses the mailbox provider's servers, not a QuickMail IP.
The catch: API access is not on Starter, and the upload cap is a small list. A card on file is required even though the trial does not auto-renew.
Pick it when teammates and LinkedIn accounts should both be unlimited on day one, and keep the list inside that upload cap.
Snov.io, when finding and sending share one credit
Snov.io puts credits, recipients, and warmup on the same plan, with unlimited team seats from Starter up. A credit pays for a prospect search, an email search, or a verification. A recipient is the first touch in the billing period, and later follow-ups to that person are free, so a long sequence costs less than a wider list.
Starter is $39/mo, or $29.25/mo on the yearly price, with 1,000 credits, 5,000 recipients, and 3 warmup slots. The page's example puts a Starter credit at 3.9 cents. Pro S is $99/mo, or $74.25/mo yearly, with 5,000 credits, 25,000 recipients, and unlimited warmup. A LinkedIn slot is $69/mo, or $62/mo yearly, and a Sales Suite subscription takes another $10 off each slot. Monthly emails are unlimited, and the cap is recipients and credits.
The catch: Three warmup slots will not carry an agency's domains, and LinkedIn is never inside the Starter price.
Use the yearly Starter price for a short shared list, and buy Pro S before a fourth mailbox needs warmup.
Apollo, when you do not have the list yet
Apollo fits when the database and the sequence share a public seat price, and it is a weak fit when the job is rotating dozens of cold domains. Campaigns exist on every account, and a non-paying account can connect Gmail only. Leaving the database later is covered in Apollo alternatives.
Apollo's credits article, dated September 3, 2026, lists these allowances. Free is 900 credits a year, a sample rather than a sending month. Basic is $49 per user each month on an annual term, with 30,000 credits a year. Professional is $79 per user each month annually, with 48,000 credits. Organization is $119 per user each month annually, minimum three users, with 72,000 credits.
A standard email is 1 credit, and a mobile can add up to 8 more. Unused credits typically do not carry forward, and waterfall enrichment stops on CSV files above 50,000 rows. The data page states 240 million-plus contacts and a 98% email accuracy rate after a seven-step check.
The catch: Five Basic seats are a different bill from a flat outreach plan, and two founders cannot buy Organization. A free login will not connect the company domain.
Start here when the missing piece is the name, then move sending to a mailbox tool.
Woodpecker, when you contact people, not a volume tier
Woodpecker meters contacted prospects for the whole account, so a small book stays cheap and a blast does not. You can connect as many email accounts as you want, and warmup slots are what run out.
The entry tier is $35/mo for up to 500 contacted prospects and 2 warmup slots. Extra slots are $5/mo each, up to 20, so 14 mailboxes on that tier are 2 included and $60 of extras. Tiers at 4,000, 20,000, 100,000, 1,000,000, and unlimited change the free slot count. Annual billing is 33% off, so you pay for 8 months and receive 12.
Pausing the account drops the fee to $10 and still bills attached domains. The trial is 14 days or 100 cold emails, with no card, and warmup mail does not count toward those 100 trial emails. An agency client is $27/mo, and white label is $5 per client each month. A new domain needs 2 to 3 months of warmup, which should be off before the campaign.
The catch: The entry tier is 500 people, a 14-mailbox setup adds $60, and pausing warmup does not pause the slot charge.
Use it for a narrow list, and price warmup slots before the domains.
GMass, when the campaign lives in Gmail
GMass is a Chrome extension that sends mail merge and follow-ups from Gmail, and every plan includes unlimited emails. SMTP, including the company's ColdSMTP server, is the documented way past Gmail's own ceiling, and this is not a multi-domain warmup network.
PayPal checkout, in USD, lists Standard at $29.95/mo or $249 for the year, Premium at $39.95/mo or $349 for the year, and Professional at $59.95/mo or $599 for the year. A team 5-pack is $175/mo or $1,750 for the year. Those annual totals are the January 1, 2026 rates, posted December 10, 2025, so an older annual quote is the wrong budget.
The catch: Unlimited emails still sit on the Gmail reputation you connect. A fleet of lookalike domains is a different bill.
Buy Standard when the list is a Google Sheet and the sender is one mailbox.
Mailshake, when the sequence should stay small
Mailshake bills the user. The yearly prices are the default view, there is no trial, and payment is collected up front.
Yearly Starter is $25/mo (monthly shows $29) with 1 email address, 1,500 sends, unlimited uploaded contacts, 50 data-finder credits, and unlimited warmup. Email Outreach is $45/mo yearly, with 2 addresses, unlimited sends, and rotation. Sales Engagement is $85/mo yearly, with 10 addresses, 2,500 data-finder credits, 5 phone numbers, and unlimited dialer minutes to North American numbers. Agency, with unlimited addresses, is a quote, and Data Finder as an add-on is $17/mo yearly.
The catch: That send cap and one address will not run a domain network, and you pay before you see the product.
Use yearly Starter for one mailbox, and leave it when a second address or a second person appears.
Pricing: what you will really pay
The entry prices are not the invoice. Instantly's sending plan still needs mailboxes, and the contact cap does not reset. Smartlead's verified leads are an add-on until Unlimited Smart. lemlist's finder is a credit subscription beside the email tier. Apollo's seat looks cheaper until you multiply users and then buy phones.
| Hidden line | What it costs | Who it rules out |
|---|---|---|
| Instantly contact cap | 1,000 contacts on Growth, fixed across campaigns | Anyone uploading a fresh list every week |
| Smartlead verified leads | $59/mo on Base and Pro | A team that thought 2,000 emails were included |
| lemlist LinkedIn | $87/user/mo yearly, 5 senders per user | A squad that wanted unlimited senders and LinkedIn |
| Saleshandy second seat | Pro at $76/mo yearly, Starter is 1 user | A solo plan that quietly became a team |
| Woodpecker extra warmup | $5/mo per slot after the 2 included | 14 mailboxes on the 500-person tier |
| Mailshake Starter volume | 1,500 sends and 1 address | Any program past a single inbox |
| Apollo Organization | $119/user/mo yearly, 3 users minimum | Two founders who wanted the top credit pool |
| Snov warmup | 3 slots on Starter | An agency connecting a domain per client |
Two people with a finished list share one Instantly, Smartlead, or lemlist Email bill, while Apollo or Mailshake bills them as two seats. Woodpecker's median, from 7,676 mailboxes that sent at least 500 emails in 90 days, is a 2% reply rate at 1 to 20 a day and 0.5% at 101 to 200, published on its warmup page, so a higher daily pace is not free pipeline.
How to choose
Match the meter to the constraint you actually have. A finished file with no domains points to Instantly or Smartlead, and the mailboxes are still an add-on. No file yet points to Apollo, Saleshandy, or Snov, and the wider search is sales intelligence tools. LinkedIn inside the sequence points to lemlist Multichannel or QuickMail, and one Gmail user can stay on GMass until a second domain appears.
lemlist Email, QuickMail, and Smartlead do not charge a new seat for a new login. Mailshake and Apollo do, and Saleshandy does once you leave Starter. Keep cold email off the newsletter domain, verify first with email verification tools, and put calling in power dialers.
Common mistakes
Reading Instantly's contact cap as a monthly allowance. It is fixed across campaigns, so a weekly upload dies on Growth before the email meter does, and Hypergrowth at $97/mo is a new plan, not an overage.
Treating Smartlead's verified emails as included on Base. They are a $59/mo add-on until Unlimited Smart at $174/mo, where verified prospect emails are included.
Pricing lemlist Email like a seat. The yearly entry is one workspace fee, and Multichannel, at $109/mo or $87 yearly with 5 senders each.
Putting 14 Woodpecker mailboxes on the 500-person tier. Two warmup slots are included, and twelve more cost $60 before anyone is contacted.
Starting an agency on Mailshake Starter. One address and that send cap, paid before any trial. Email Outreach at $45/mo yearly is the first plan with two addresses.
Sending Apollo's free plan from the company domain. Campaigns are included, non-Gmail mailboxes are not, and 900 credits a year are a sample.
FAQ
What is the best cold email software in 2026?
Instantly Growth at $47/mo, when the list exists and a 5,000-email month with a non-refilling 1,000-contact cap is acceptable. Smartlead's yearly Base plan is the better send cap, at $32.50/mo for 6,000 emails. lemlist Email at $55/mo yearly fits several people on one pool. Saleshandy Starter at $34/mo yearly fits when the credit database has to share the checkout.
How much does cold email software cost?
In September 2026, entry prices run from Mailshake at $25/mo yearly and GMass Standard at $29.95/mo, through Woodpecker at $35/mo for 500 people, up to Instantly Light Speed at $358/mo and Smartlead Prime at $379/mo. Apollo Basic is a per-user annual seat, so two people are not a flat sender bill.
Is there a free cold email tool?
Instantly, Smartlead, lemlist, and Woodpecker offer a no-card trial, and none of that is a month of agency sending. Instantly's lasts 14 days with 250 contacts and 1,000 emails. Woodpecker stops at 14 days or 100 cold emails. QuickMail's 14-day trial needs a card and does not auto-charge. Mailshake has no trial and collects payment up front. Apollo Free is 900 credits a year and Gmail only.
Instantly or Smartlead?
Instantly, on the Growth outreach plan, if you will watch the fixed contact cap. Smartlead, on the yearly Base price, if the higher send allowance matters more and you accept the $59/mo verified-lead add-on until Unlimited Smart. Both include unlimited mailboxes, and neither includes a full database on that entry plan.
Do I need a separate email verifier?
Yes on a large file: Snov spends 1 credit per verification, Saleshandy spends one only when the email comes back verified, and an unverified result is $0. Smartlead's verification packs start at $32. Across 56,614 Woodpecker campaigns, a bounce rate under 2% beat one over 20%, which is why the clean belongs in email verification tools before the sequence.
Is cold email software the same as a sales engagement platform?
No. This category is warmup, rotation, and a send cap, while sales engagement platforms add a dialer, coaching, and a CRM cadence. Apollo and lemlist appear in both because they sell both jobs. A full B2B sales stack is a wider purchase than a sender.
Bottom line
Buy Instantly's outreach plan when the list exists and the mailboxes are the gap, and leave before the fixed contact cap stalls the next upload. Buy Smartlead for the higher entry send cap, and pay for verified leads only if you skip Unlimited Smart. Buy lemlist Email when people share one volume pool, Saleshandy when credits and sending share a checkout, and Apollo when the names are still missing. GMass and Mailshake fit one mailbox, and Woodpecker fits a narrow list once the warmup slots are counted.
