Who It's For (and Who It's Not)

Good fit: ServiceM8 makes the most sense for remote teams and busy professionals who need a reliable system to organize their day, track tasks across projects, and make sure nothing falls through the cracks when things get hectic. If that sounds like your situation, it's worth at least testing it out.

Skip it if: your current setup already works well and you're productive. Adding another tool on top of that just creates one more thing to manage. In that case, you might want to look at 1Password as a lighter-weight option.

How ServiceM8 works

ServiceM8 is job management software for trade and home-service contractors: plumbers, electricians, HVAC, locksmiths, and IT/AV installers. It runs the whole job lifecycle on a single record, from the first inquiry through the quote, the scheduled visit, on-site notes, the client signature, the invoice, and the payment. The financial end is then pushed into Xero, MYOB, or QuickBooks Online. The vendor says the platform manages over $35B in jobs.

Setup starts with staff, services, and pricing. From there you work out of a dispatch board and a map that shows where each technician is in real time. Every job becomes a job card that accumulates notes, photos and video, checklists, forms, emails, and SMS, so the history stays searchable by client, job number, or material used.

Online booking is configured by teaching ServiceM8 the qualifying questions you would normally ask to price a service. It then shows the customer live availability, factoring in staff schedules and travel time, can take a deposit or full pre-payment, and drops the job straight onto a technician's schedule. You can layer on manual approval rules for out-of-scope bookings, travel surcharges beyond a distance perimeter, and time-slot discounts that steer bookings into gaps in the day. Stock levels sync with the connected accounting package, and there is a public API plus a developer program at developer.servicem8.com. The company also sells an optional business phone system, ServiceM8 Phone, that ties incoming calls to client records.

Where ServiceM8 wins

• A genuinely usable free tier. One user, 30 jobs per month, with job cards, scheduling, quoting, invoicing, online booking, card payments, accounting integrations, and 10 AI assists per day.
• Unlimited users on every paid plan. You pay for job volume ($29 for 50 jobs, $79 for 150, $149 for 500, $349 for 1,500 and up) rather than per seat, which is unusual in field service software.
• Online booking that is deep for the price. Qualifying questions drive the quote, travel time feeds availability, and you can require a deposit or full pre-payment before the slot is held.
• Free SMS on all paid tiers. The free plan charges 10c per message, and paid plans also lift the cap on AI uses.
• Dispatch map with live staff location, plus on-site client signature capture and card payment inside the app.

Where it falls short

• Android is a second-class citizen. The vendor ships "ServiceM8 Lite for Android", explicitly aimed at "field technicians, subcontractors & temporary workers who just need the basics", and recommends iPhone or iPad to get the most out of the product. An Android-only crew will hit walls.
• Job-count caps are the real pricing lever. Exceed your monthly job limit and you get a 7-day grace period before you must upgrade, and Premium Plus charges 20c per job beyond 1,500.
• Electronic forms are gated to Growing ($79/mo) or higher, which is the feature most compliance-driven trades want. Asset management, proposals, and bundles sit behind the same gate, and job costing plus markup billing need Premium ($149/mo).
• Accounting integration is limited to Xero, MYOB, and QuickBooks Online. MYOB's presence signals the Australian origin. There is no Sage, no desktop QuickBooks, and no ERP path.
• ServiceM8 Phone is a separate line item from $19/mo on top of the plan.

Who should use ServiceM8

Solo tradies and small crews of roughly 1 to 15 people, already on iPhone or iPad and already on Xero or QuickBooks Online, who want quoting through to payment in one place and value unlimited users over per-seat pricing. The free plan makes it the cheapest credible entry point for a one-person operation, and the job-volume pricing means adding an apprentice or a subcontractor costs nothing extra.

Skip it if your field team is on Android, since the Lite app is deliberately stripped back. Skip it too if you need electronic forms or asset tracking on a budget tier, because both sit at $79/mo and above. And skip it if you are a large enterprise contractor needing ERP-grade integration, since the accounting connections stop at three small-business packages.
