Cheaper QuickBooks Alternatives in 2026: What a 3-Person Team Pays

Trusted by790,000+ Techpresso subscribers·Editorial policy·How we make money

For a three-person services firm that sends invoices and runs payroll outside its subscription, Zoho Books Standard is the pick. It lists at $20 a month billed monthly and covers three users. QuickBooks Online's three-user plan, Essentials, lists at $85 a month. Akaunting Premium, FreshBooks Lite and Xero Early also list below QuickBooks Simple Start, and each one carries a different cap that decides whether it fits. If you are also pricing project tools, the cheaper Asana alternatives guide covers ten seats.

Toolradar data: Toolradar ranks 200 accounting tools, and 51 of them have a free plan (26% on its page, in the October 2026 update, last updated October 15, 2026) (Toolradar's accounting ranking). Of the four picks below, two have a free plan. Zoho Books Free is hosted by Zoho and covers one user plus one accountant. Akaunting's Standard On-Premise is a free download that you host yourself, with the same one user plus one accountant.

Key facts: 4 tools compared, all priced per month in US dollars. List prices come first, and intro or yearly rates are labeled as such.

Tool Plan priced Monthly list Intro or yearly rate Limit that matters Against Simple Start (list)
Zoho Books Standard $20, billed monthly $15, billed annually 3 users, 5,000 invoices a year $18 less (47.4%)
Akaunting Premium Cloud $36, billed monthly $24, billed yearly 10 users, 10,000 invoices $2 less (5.3%)
FreshBooks Lite $23, monthly plan $4.60 for 4 months (80% off, limited-time offer), then $23 5 billable clients $15 less (39.5%)
Xero Early $27, billed monthly $2.70 for the first 6 months 20 invoices, no per-user fees $11 less (28.9%)

Prices are per month in US dollars, as of October 25, 2026. The last column compares each monthly list price with QuickBooks Online Simple Start, the lowest paid QuickBooks plan, at $38 a month.

Every pick lists below Simple Start on monthly list price, so intro rates are what change the picture. Simple Start's three-month offer of $19 a month sits $1 under Zoho's list price. Akaunting's Premium sits well above that intro rate, while FreshBooks' $4.60 and Xero's $2.70 sit far below it. Budget on the list price, and treat the intro rate as a short discount.

1

Zoho Books Standard: three users included at $20 a month

Zoho prices Standard per organization rather than per seat, at $20 a month billed monthly or $15 a month billed annually. The plan includes three users and 5,000 invoices a year. That works out to $6.67 a person a month, our arithmetic, and it is the reason this pick wins for a team of three. For the full tool profile, see Zoho Books on Toolradar.

Zoho's free plan is the other route. Its pricing page describes it as "Get started with free accounting software for solopreneurs and micro businesses," with one user plus one accountant and 1,000 invoices a year. The FAQ sets the condition that matters: "As long as your revenue for the financial year does not exceed the threshold of $50K, Zoho Books's Free Plan is available indefinitely." A solo operator under that line pays nothing, but a three-person team does not fit the free plan.

The weak spot is the fourth hire. Professional, at $50 a month billed monthly or $40 billed annually, includes five users and adds sales orders and multi-currency transactions. Standard fits a team of three that sends fewer than 5,000 invoices a year and bills in one currency.

2

Akaunting Premium Cloud: ten users at $36 a month

Akaunting's Standard Cloud is labeled "Best for one-person businesses," with one user plus one accountant, so a team of three needs Premium Cloud. Premium lists 10 users and 10,000 invoices at $36 a month billed monthly, or $24 a month on the yearly plan. The pricing toggle offers "MONTHLY" and "YEARLY (4 months free)," which matches the gap between the two rates: four months a year. The full tool profile is on Akaunting's Toolradar page.

The trade-off is cost. At three people, Premium runs $16 above Zoho Standard, and most of its ten-user cap goes unused. Pick it when the team is growing, because at four or five people it costs less than Zoho's Professional plan.

3

FreshBooks Lite: $23 a month for five billable clients

FreshBooks lists Lite at $23 a month on its monthly plan. A "LIMITED TIME OFFER" banner shows 80% off for 4 months, with Lite at $4.60 a month, and free onboarding support. The cap here is billable clients: five on Lite, 50 on Plus at $43 a month, and unlimited on Premium at $70 a month. Plus costs more than QuickBooks Simple Start's list price, so a client count above five is an expensive step. The full tool profile is on FreshBooks' Toolradar page.

Verdict

Pick Lite if you bill five or fewer clients. Team members are an add-on at $11 a month per person on Lite, so two added members bring Lite to $45 a month at list for three people who all need access. The plan also comes with a 30-day free trial, which gives you a few weeks to check the workflow before you pay. Move up when the client count passes five, and budget for Plus at $43 a month.

4

Xero Early: $27 a month, 20 invoices and no per-user fees

Xero lists Early at $27 a month after an introductory $2.70 a month for the first six months, and the page says that offer "ends November 2 2026." Xero also states "No per-user license fees," so the price does not climb with headcount. The card includes quotes and 20 invoices, five bills, bank reconciliation, a 30-day cash flow forecast and domestic bill payments with free ACH. Xero bills monthly, and its FAQ says the invoice arrives "at the end of your monthly billing period." The full tool profile is on Xero's Toolradar page.

The invoice cap is the real constraint. The footnote reads "Invoice limits for the Early plan apply to both approving and sending invoices," so a firm that sends more than 20 invoices needs a higher Xero plan. Xero Payroll is an optional add-on listed beside the Early plan. The Early card does not print its price, so these totals leave it out.

Where QuickBooks still earns its price

QuickBooks' case is scale and depth: Advanced lists 25 users at $340 a month. A commenter in a May 2023 Hacker News thread put the trade-off in one line: "The prices keep increasing but the QuickBooks online functionality is the best out there" (Hacker News comment, May 21, 2023). That is one user's view. The same comment calls QuickBooks "the platform with which most other tools make sure to integrate." Check that claim against the tools you already run before you switch. How QuickBooks Online's list price moved

The January 1, 2023 capture of QuickBooks' pricing page prints Simple Start at $30, with $15 a month beside it under a 50%-off-for-3-months offer (archive capture). The January 10, 2025 capture prints Simple Start at $35, with $17.50 a month beside it under a "Save 50% for 3 months" offer (archive capture). The live page lists $38 a month. A budget built on the 2023 figure would understate the Simple Start list by $8 a month, so use the current list in any comparison.

QuickBooks Online plans used in the comparison

QuickBooks Online plan Monthly list Intro rate Users
Simple Start $38 $19 for 3 months (50% off) 1 user
Essentials $85 $42.50 for 3 months (50% off) 3 users
Plus $140 $70 for 3 months (50% off) 5 users
Advanced $340 $170 for 3 months (50% off) 25 users

The plan cards show per-month prices, and the page says "No annual contract" and "Cancel anytime." It also lists a 30-day free trial and a $0 a month option under the line "Just starting out? Get organized and get paid."

Methodology: how the picks are ordered

The order puts the plan with three users at the lowest monthly list price first, then the plan with the most headroom, then plans with a tight invoice or client cap, lower price first. Prices are per month in US dollars, with list prices first and intro or yearly rates labeled. More side-by-side cost pages are in the Dupple learn hub.

Common mistakes

  • Mixing yearly and monthly rates. Zoho's annual and Akaunting's yearly rates look lower because they are billed annually. Compare the monthly list column with the monthly list column, and then look at annual totals.
  • Counting the intro as the price. QuickBooks' 50% off lasts three months, and Xero's introductory rate lasts six. FreshBooks labels its offer as limited-time. Once each intro ends, the plan returns to its list price.
  • Counting the wrong unit. Zoho and Akaunting cap users, FreshBooks caps billable clients, and Xero caps invoices. A plan that fits your headcount can still fail on invoice volume.
