Obsidian vs Notion 2026: Which Note App Fits How You Work?

Obsidian vs Notion 2026: Which Note App Fits How You Work?
Trusted by790,000+ Techpresso subscribers·Editorial policy·How we make money

Short answer: Obsidian wins for one person who wants fast, private notes they own; Notion wins for a team that works in shared docs and databases. Obsidian's app is free, and Sync costs $4/mo billed yearly. Notion is free for individuals, then $10 (Plus) or $20 (Business) per member a month on yearly billing. Verified on obsidian.md and notion.com, October 2026.

Most comparisons treat this as a feature contest. It is really a choice about where your notes live. Obsidian stores them on your device as plain Markdown files, and everything else (sync, publishing, AI) is optional. Notion keeps them in a shared cloud workspace, and its price climbs with every member you add. Decide which of those you want, and the price follows.

Prices read on Obsidian pricing and Notion pricing on October 28, 2026. Notion's monthly-billing prices come from the plan data behind its monthly/yearly toggle.

Dupple data: Toolradar, our software directory, evaluated 212 note-taking tools for its ranking updated October 26, 2026, and 9 of the 10 it lists have a free plan. A free tier is the norm in this category, so the real comparison is what you pay once you sync devices or add teammates. Toolradar's note-taking ranking

What each costs for 1 person and for a team of 5

These totals are our arithmetic on the printed prices. Yearly billing is used where both vendors offer it; the monthly-billing figure follows in brackets.

What each costs for 1 person and for a team of 5: Obsidian vs Notion 2026: Which Note App Fits How You Work?. Last updated November 2026.
Scenario Obsidian Notion
1 person, one device $0 $0 (Free plan)
1 person, synced across devices $48/yr with Sync ($60 monthly) $0 on Free, or Plus at $120/yr ($144 monthly)
5 people, shared notes $240/yr for 5 Sync seats; $490 with 5 commercial licenses Plus: $600/yr ($720 monthly)
5 people with built-in AI agents Not available as a vendor feature Business: $1,200/yr ($1,440 monthly)
Publish notes on your own domain Publish: $96/yr per site Custom domain: $96/yr per domain

For a 5-person team, Notion Business costs $960 a year more than Obsidian Sync (our arithmetic, yearly billing). What that money buys is a shared workspace with permissions, databases, guests and AI agents, which Obsidian does not try to be.

One note on the commercial license. Obsidian's FAQ says you are "not required" to pay for it when using Obsidian for work, though it encourages organizations to buy one. The $490 figure is the team that chooses to pay; the $240 figure covers synced notes alone.

Which is better for a team?

Notion, and it is not close. It is built around shared pages, teamspaces and permission groups, and even the Free plan allows 10 external guests. Business adds SAML SSO, private teamspaces and granular database permissions, and page history grows from 30 days on Plus to 90 on Business.

Obsidian's team story is narrower. Sync supports shared vaults, and its homepage pitches collaboration on shared files. There are no workspace roles, no database views and no admin console. That suits a small research group sharing a vault; it does not suit a company running projects and wikis.

The steelman for Obsidian on teams is cost and control. Notes stay as files the team owns, Sync is end-to-end encrypted with AES-256, and a 5-person team pays a fifth of Notion Business. Teams that write a lot and coordinate little can live with that trade.

Which has better AI features?

Notion, if you want AI from the vendor. Free and Plus include a trial of Notion AI. Business adds Notion Agent, which Notion says "completes complex, multi-step tasks using context from Notion, your connected apps, and the web," plus AI Meeting Notes and Enterprise Search (in beta). Custom Agents run on credits: free to try, then $10 per 1,000 monthly Notion credits, on top of the seat price.

That credit charge is the cost most teams miss. Business seats cover Notion Agent, but agents that run tasks on their own draw credits, so heavy automation adds a usage bill.

Obsidian lists no built-in AI on its pricing page. AI in Obsidian comes from its community plugin directory, which listed 9,598 plugins and 942 themes in October 2026, each maintained by its own developer. That keeps your notes local unless you connect a plugin to an outside AI service, but you vet each plugin yourself.

Which works offline?

Obsidian, by design. Its pricing FAQ says data is stored locally on your device, the apps collect no telemetry, and you can use them without sharing personal information. Offline is the default state, not a feature.

Notion is a cloud app with offline support. On Free you choose pages to download for offline use; on Plus and Business, recents and favorites download automatically. If you work on planes or in places with poor connectivity, check that the pages you need are marked before you leave.

Can you move from Notion to Obsidian?

Yes, with some cleanup. Notion can export a workspace as HTML, Markdown and CSV, and Obsidian stores notes as plain Markdown files, so exported pages open as notes. Databases are the hard part: they export as CSV tables, and Obsidian has no native equivalent, so relational setups lose their structure.

If you think you might switch later, Obsidian's plain files are the lower-lock-in starting point.

Strengths and weaknesses

Obsidian

  • Strength: the full app is $0, with no sign-up and no usage caps.
  • Strength: notes are local Markdown files, readable by any text editor.
  • Strength: 9,598 community plugins for features the core app lacks.
  • Weakness: no team roles, admin console or database views.
  • Weakness: Catalyst and commercial licenses are non-refundable; only Sync and Publish carry a 7-day refund.

Notion

  • Strength: databases, forms, charts and sites in one workspace.
  • Strength: Notion Agent and AI Meeting Notes included on Business.
  • Strength: SAML SSO, granular permissions and private teamspaces on Business.
  • Weakness: price scales per member, $1,200 a year for 5 on Business.
  • Weakness: Free caps file uploads at 5 MB and page history at 7 days.

Who should pick which

Pick Obsidian if you write and think alone, care about privacy, or want notes that outlive any app. Add Sync only when you need a second device. Students, faculty and nonprofit staff get 40% off Sync and Publish.

Pick Notion Free or Plus if you share notes with a few people and want databases, forms and a simple site. Plus removes the block limit that kicks in for 2+ members on Free.

Pick Notion Business if your team wants AI agents and meeting notes built in, plus SSO. Budget for credits if you plan to run Custom Agents.

Use both if you are a team member with private research: Obsidian for your own thinking, Notion for what the team needs to see. For other options, see our Notion alternatives, the best note-taking apps and the best free note-taking apps.

FAQ

Is Obsidian free for work use?

Yes. Obsidian's FAQ says you are not required to pay for a commercial license, though it encourages organizations to buy one at $50 per user per year. The app itself is free; Sync and Publish are paid add-ons.

How much does Notion cost per person?

Notion Plus is $10 per member a month on yearly billing ($12 monthly), and Business is $20 a month yearly ($24 monthly), per Notion's pricing page in October 2026. The Free plan costs $0, and Enterprise is priced through sales.

Is Obsidian or Notion better for a team?

Notion. It offers shared workspaces, permissions, guests, databases and SSO on Business. Obsidian supports shared vaults through Sync but has no admin console or roles, so it fits small groups sharing notes rather than teams running projects.

Which has better AI, Obsidian or Notion?

Notion, for built-in AI. Business includes Notion Agent and AI Meeting Notes, and Custom Agents cost $10 per 1,000 monthly credits after a free trial. Obsidian has no built-in AI; AI features come from community plugins.

Does Obsidian sync for free?

Not through Obsidian's own service. Obsidian Sync costs $4 per user a month billed yearly or $5 monthly, with end-to-end encryption and version history. Without Sync, notes stay on the device where you created them.

Can I use Notion offline?

Partly. Notion's Free plan lets you choose pages to download for offline use, and paid plans download recents and favorites automatically. Obsidian works fully offline because notes are stored on your device.
