Best Business Email Hosting in 2026: What 10 Mailboxes Cost Against Google Workspace
For 10 mailboxes on one domain billed annually (list prices read on 19 Oct 2026), Zoho Mail Lite is the pick for a mail-only team: $120 a year at $1 per user per month with 5 GB each, against $840 for Google Workspace Business Starter, a $720 saving. Fastmail Standard, with 50 GB of mail per user, costs $600.
Dupple data: all 9 vendor pricing pages we read on 19 Oct 2026 print a price, and 5 of the 7 alternatives sold monthly or for 12 months bill 10 mailboxes below Google's yearly total in the table.

| Hostinger Business Email Standard | Per mailbox, 48-month prepay | 20 GB per mailbox | Not priced yearly | No monthly price shown | Not comparable | Promotional rate: $475.20 covers only the first 48 months, then $1,339.20 per 48 months at renewal |
The scenario is 10 mailboxes on one custom domain with one admin, at list prices in US dollars. The yearly column uses each vendor's annual or 12-month rate, and the month-to-month column multiplies its no-commitment rate by 12 where one exists. Pick 1 is the Google baseline, picks 2 to 8 run from the lowest to the highest bill in the table, and Hostinger comes last because the view we priced is a 48-month prepayment. Prices checked on 19 October 2026.
What is business email hosting?
Business email hosting runs mailboxes on your own domain, such as [email protected], with storage, spam filtering and admin controls. Some vendors sell mail only, and others bundle documents, chat and meetings.
How we chose and ordered the list
This page compares vendor pricing pages and help documents, not hands-on use of the software. Each of the nine sells mailboxes on a domain you own and prints a US dollar price, which we read on 19 Oct 2026. Where a vendor shows a promotional price, the ranked rows use the list or renewal price; Hostinger's 48-month promotion appears only in the last row, labelled as promotional. Totals are our own arithmetic: users × months × the per-user price.
Google Workspace Business Starter: the baseline
Google's pricing page lists Business Starter at $7.00 per user per month on the annual plan, which Google's help center says you can pay monthly or as $84 per user per year, and at $8.40 per user per month on the flexible plan. Starter includes custom business email, 30 GB of pooled storage per user, Meet calls for 100 participants and Gemini in Gmail, for up to 300 users.
The page also shows a promotional price for new customers ($4.90 on some of our reads, $5.60 on others), but its price details describe a 3-month discount and its footnote a 12-month price for the first 20 users, so the table uses the list price. Our Google Workspace pricing guide covers the higher editions and Gemini.
Stay on Google if the team lives in Google's apps. Its storage is pooled, so one heavy user can use up a colleague's share, which a per-mailbox allowance avoids.
Zoho Mail Lite: annual billing only, from a 5 GB mailbox
Zoho's pricing page sells Mail Lite at $1 per user per month billed annually with 5 GB per mailbox, or $1.25 with 10 GB, and states there is no monthly plan. Mail Premium is $4 per user per month billed annually for 50 GB of mail plus 50 GB of retention storage. The Workplace bundle adds office apps, chat and meetings: Standard is $3 billed annually or $4 billed monthly with 30 GB of mail, and Professional is $6 or $7 with 100 GB. Zoho Calendar, which ships with these plans, is one of nine options in our Google Calendar alternatives guide.
Zoho also lists a free plan for one domain and up to 5 users with 5 GB each, without IMAP, POP or ActiveSync, so it cannot cover 10 mailboxes.
The pick for a team that needs mail and little else. The 5 GB mailbox fills quickly, and the like-for-like step up to Workplace Standard with 30 GB costs $360 for 10 users billed annually.
Migadu Standard: one flat price for the whole account
Migadu charges per account, not per mailbox: one price covers unlimited mailboxes and addresses, and the limits apply to the account as a whole. Micro is $19 a year with 5 GB, 20 outgoing and 200 incoming messages a day. Mini is $90 a year or $9 a month with 30 GB, 100 outgoing and 1,000 incoming. Standard is $290 a year or $29 a month with 100 GB, 500 outgoing and 3,000 incoming, and Maxi is $990 a year or $99 a month with 500 GB. The table prices Standard, which Migadu marks as recommended, because Mini's 100 outgoing messages come to 10 per mailbox across a team of 10.
Storage limits are soft, but Migadu defers incoming mail and rejects outgoing mail once an account passes its message limit plus a 25% tolerance. Support is by email and tickets, with no phone or chat.
Choose it for light, steady sending and a flat bill that does not grow with headcount. One busy sender can use up the whole team's daily allowance.
Gandi Mail Standard: 10 GB mailboxes on a domain from any registrar
Gandi's email page lists Standard from $4.99 a month or $59.88 a year with 10 GB per mailbox, Premium from $7.99 or $95.88 with 50 GB, and Business from $9.99 or $119.88 with 100 GB, taxes excluded. Every tier lists unlimited aliases, webmail with an address book and calendar, IMAP, POP and SMTP access and two-factor sign-in, and Gandi says its mail works with a domain registered at another registrar.
The page is headed "New mailbox pricing" with a "Storage per mailbox" row, and its yearly toggle shows $59.88 for Standard, which is twelve months at $4.99, so the table prices 10 mailboxes at ten times that. Gandi's docs on adding mailboxes and renewing them say each mailbox is bought and renewed on its own, monthly or yearly.
A plain mailbox host for a team that wants 10 GB each and no suite. At 10 mailboxes Premium would cost $958.80 a year, which is more than Google's bill.
Fastmail Standard: 50 GB of mail and your own domain
Fastmail sells three business plans per user: Basic at $4 a month or $3 on a 12-month term, Standard at $6 or $5, and Professional at $10 or $9. Standard gives each user 50 GB for mail, calendar and contacts plus 10 GB of file storage, and Professional adds 100 GB of mail and email retention for legal compliance. Every plan lists 24/7 support, and the free trial runs up to 30 days.
Basic looks cheaper, but the page's comparison table marks your own domain and third-party mail apps as not included, which makes Standard the entry plan for business use.
Choose it for large mailboxes and human support when you do not need documents or video meetings from the same vendor.
Proton Mail Essentials: encrypted mail priced next to Google
Proton's business pricing page lists Mail Essentials at $6.99 per user per month billed as $83.88 every 12 months, or $7.99 month to month. It includes 15 GB per user, 3 custom email domains, a calendar with one booking page, file sharing and a document and spreadsheet editor. Workspace Standard is $12.99 per user per month on a 12-month term, or $14.99 monthly, with 1 TB per user, 15 domains and video meetings for 100 participants.
At 10 users the yearly saving against Google is $1.20, so price is not the reason to pick Proton. Proton says its mail is end-to-end encrypted with a zero-access design (Proton's security page), and its Mail app is one of eight in our guide to the best email clients, where it ranks first.
Pick it for encryption and a bundled calendar and file editor, not for savings.
Microsoft 365 Business Basic: Google's bill with Teams, less without it
Microsoft's Business Basic page lists $7.00 per user per month, paid yearly on an auto-renewing annual subscription, or $8.40 on a monthly subscription. The plan includes custom business email on Exchange, 1 TB of cloud storage per user, Teams and web and mobile versions of Word, Excel, PowerPoint and Outlook, for up to 300 users. Microsoft's Exchange Online limits page gives user mailboxes 100 GB on Business Basic. If you replace Teams, Slack, Zoom Workplace and Google Chat are compared in our team communication tools guide.
Microsoft's FAQ says installable desktop apps come with Business Standard and above, not Basic, so Business Basic with Teams, at $840 for 10 users, matches Google's annual plan. Microsoft also lists Business Basic without Teams at $5.40 per user per month paid yearly, or $6.48 monthly, and a standalone Exchange Online (Plan 1) at $4.00 paid yearly, which bring 10 users to $648 and $480 a year respectively.
Move to Microsoft for the larger mailbox or an existing Microsoft setup, and drop Teams or take standalone Exchange if the bill matters.
Rackspace Email Standard: month to month only, with 24x7 support
Rackspace lists a Standard mailbox at $10.00 per mailbox per month on a monthly commit with no long-term contract, and prints no annual price. Each mailbox has 25 GB plus 30 GB of file storage, and the page lists 24x7x365 support and free migrations. Email Plus adds ActiveSync, shared calendars and contacts, Office-compatible apps and instant messaging for another $2.00 per mailbox per month, and an Archiving add-on is listed at +$6.00.
Ten mailboxes cost $192 more than Google's flexible plan, and adding Plus lifts the total to $1,440 a year.
Pick it for support and no contract, not for price.
Hostinger Business Email: a 48-month prepay, priced below the ranking
Hostinger's business email page opens on a 48-month term with all plans paid upfront. Per mailbox per month, Starter is $0.39 for 5 GB, Standard $0.99 for 20 GB and Premium $1.99 for 50 GB, renewing at $1.59, $2.79 and $3.99 for another 48-month term. The page presents these rates as a Black Friday promotion, shows struck-through list prices of $2.99, $3.99 and $5.99, and advertises a limited-time offer of a third mailbox free when you buy two, on terms of 12 months or longer; the totals here do not apply it. Ten Standard mailboxes therefore cost the promotional $475.20 in the table for the first term, or $1,915.20 at the struck-through $3.99.
The table does not rank Hostinger because the view we priced is a 48-month term, not a yearly price, and the renewal is $864 higher than the intro price for 10 Standard mailboxes.
Worth a look if you are ready to commit for four years.
Common mistakes
- Budgeting from a promotional price. Google's $4.90 promotional price, where shown, would put 10 users at $588 a year, which is $252 under the list bill.
- Pricing the wrong tier. Fastmail Basic cannot use your own domain, so the real entry plan costs $240 more. Zoho's 10 GB tier lifts Lite to $150.
- Skipping the billing term. Month-to-month adds $168 a year at Google and at Microsoft Business Basic for 10 users.
- Ignoring account-wide caps. Migadu Mini at $90 a year gives 10 mailboxes an average of 10 outgoing messages each per day.
- Forgetting renewals and add-ons. Hostinger's $475.20 first term becomes $1,339.20 at renewal, and Rackspace Plus adds $2.00 per mailbox per month.
How to choose
- Mail only, with storage per user: Zoho Mail Lite, or Workplace Standard for office apps, chat and meetings.
- Light sending and a flat bill: Migadu Standard, if 500 outgoing messages a day covers the team.
- Large mailboxes without a suite: Fastmail Standard, Zoho Mail Premium ($480 a year for 50 GB of mail plus 50 GB of retention), or Gandi Mail Standard if 10 GB each is enough.
- Privacy first: Proton Mail Essentials, knowing it saves almost nothing against Google.
- Staying with Microsoft tools: Business Basic, at Google's yearly bill, or standalone Exchange Online for less.
- Month to month with human support: Rackspace Email, at a higher bill than Google's.
FAQ
What is the cheapest business email hosting for a team of 10 in 2026?
In the table's yearly column, Zoho Mail Lite has the lowest bill: $120 for 10 mailboxes billed annually, with 5 GB each, read on 19 Oct 2026. Migadu sells cheaper plans, Micro and Mini, but they cap the whole account at 20 and 100 outgoing messages a day. Hostinger's 48-month prepay is not a yearly price: ten Standard mailboxes average $118.80 a year on its promotional $475.20 first term, then renew at $1,339.20 for the next 48 months.
How much does business email cost per user?
In the table, monthly or 12-month rates run from $1 per user per month at Zoho Mail Lite to $10.00 per mailbox per month at Rackspace Standard. Fastmail Standard is $5 on a 12-month term and Proton Mail Essentials is $6.99.
Is there a free business email on my own domain?
Zoho's free plan covers one domain with up to 5 users and 5 GB each, without IMAP, POP or ActiveSync, and only in select data centers, which leaves a team of 10 on a paid plan. Migadu replaced its free plan with Micro at $19 a year.
Do I lose documents and video meetings if I leave Google Workspace?
Not on every plan. Zoho Workplace Standard, at $3 per user per month billed annually, and Microsoft 365 Business Basic bundle office apps, chat and meetings, and Proton Mail Essentials includes a document editor. Gandi, Migadu and Fastmail list none of these, so they would come from another tool.
Does paying monthly cost more than paying yearly?
Usually. Google and Microsoft each charge $8.40 per user per month without a commitment, Fastmail $6, Proton $7.99 and Migadu's Standard $29 a month for the whole account. Zoho Mail Lite has no monthly plan, and Gandi's yearly price equals twelve monthly payments.
Bottom line
Price your own mailbox count first, because storage, sending caps and the billing term move the total more than the plan name. Zoho Mail Lite is the pick for a mail-only team, Fastmail Standard or Zoho Mail Premium suit 50 GB mailboxes, Migadu suits light senders on a flat bill, and Microsoft 365 Business Basic with Teams matches Google's yearly bill.
