Founded in 2012, Airtable was the first product to make "no-code database" feel approachable. It now serves 500,000+ organizations including 80% of the Fortune 100.

The honest pitch is this: if you have a process that lives in Google Sheets but really should be a database, Airtable is the bridge. You start with a table that looks familiar. Then you add relations, switch to a kanban view, build a form for data entry, and connect it to Slack with an automation. By the time you finish, you have built what would normally take a developer two weeks.

How Airtable Works

The atomic unit is a base, which holds one or more tables. Each table has fields with strong types: text, number, single-select, multi-select, date, attachment, linked record to another table, lookup, rollup, formula. The typing alone makes Airtable feel less brittle than a spreadsheet, because you cannot accidentally type text into a number column.

Views are where Airtable starts to feel different from Sheets. The same underlying data can be displayed as a grid, kanban board, calendar, gallery, timeline, or form. Each view can have its own filters, sorts, and visible fields. Marketing sees their content calendar as a calendar view, ops sees the same data as a kanban, and the analyst sees a filtered grid. One source of truth, three workflows.

Automations let you trigger actions when records change. "When status moves to Approved, post in #marketing on Slack and create a Google Doc from a template." There are 70+ pre-built triggers and actions, plus a scripting block for custom JavaScript if you outgrow the no-code path.

Airtable also added an AI layer in 2024 that handles tasks like categorizing inbound submissions, summarizing long text fields, and generating draft content directly inside records. It is useful but not the main reason to pick Airtable.

Airtable Pricing in 2026

Free: Up to 5 editors, 1,000 records per base, basic views. Good for trying it out, terrible for serious use because of the record cap.

Team: $20/user/month annually ($24 monthly). 50,000 records per base, 20GB attachments per base, Gantt and timeline views, automations.

Business: $45/user/month annually. 125,000 records per base, premium field types, SAML SSO, advanced permissions.

Enterprise Scale: Custom pricing. Includes audit logs, on-premise key management, dedicated support.

The pricing changed in 2024 from per-user to per-editor, where read-only viewers are free. That made Airtable significantly cheaper for teams that share dashboards widely but only have a few people editing.

Where Airtable Wins

  • Familiar but powerful: spreadsheet users feel at home, then discover relations and views. The learning curve is gentle relative to what you can build.
  • Multiple views per table: same data, different shapes for different teams. This alone replaces a lot of dashboards.
  • Strong API and webhook support: every base is automatically an API. You can build custom apps on top of Airtable data with minimal effort.
  • Ecosystem of extensions: scripting, page designer, chart blocks, third-party integrations through Zapier and Make. The platform feels alive.
  • Forms for data entry: build a form in two clicks, share the link, collect entries directly into your base. Replaces Typeform for simple use cases.

Where It Falls Short

  • Record limits hurt at scale: 50K records on Team and 125K on Business sound like a lot until you import a year of transactions. Then you need Enterprise.
  • Not a relational database: it pretends well, but joins and queries are limited. If you need real SQL semantics, you need a real database.
  • Pricing complaints: at $20-45/editor/month, costs add up. Teams of 30+ editors look at $13K-16K a year and start asking whether a custom build would be cheaper.
  • Performance dip on large bases: above 50K records, the UI gets slow. Filters and views take a few seconds longer than they should.
  • Mobile experience is OK, not great: the mobile app handles read and light edit cases, but complex views and dashboards do not translate well to phones.

Airtable vs Notion vs SmartSuite

Notion is the doc-first alternative. Notion databases are flexible and cheaper, but lack Airtable's relational strength and views. If your work is doc-heavy with some structured data, Notion wins. If your work is data-heavy with some docs, Airtable wins.

SmartSuite is the newer direct competitor. Stronger project management features, slightly cheaper at the high tiers, less polished UI. Worth a look if Airtable feels expensive.

Coda tries to merge docs and databases. Powerful but the learning curve is steeper than Airtable. Better for teams that want one tool for documents, data, and apps all together.

Google Sheets is the free baseline. If your use case never grows beyond simple lists, Sheets is fine. The moment you need relations or views, Airtable is worth the cost.

Who Should Use Airtable

Marketing teams managing content calendars and campaigns: the kanban-plus-grid combination matches how marketers actually work.

Product teams tracking features, releases, and bug reports: linked records connect features to releases to customer feedback.

Operations teams running inventory, vendor lists, and approval workflows: the API and automations turn static lists into working systems.

Skip it if: you need a real relational database for an application, you work with millions of records, or your team is one person who already uses Google Sheets fine.

Can I migrate from Google Sheets?

Yes. Airtable imports CSV files cleanly. You will spend time setting up field types and views correctly, but the data itself comes over with minimal pain.

Does Airtable have a real API?

Yes. Every base has a REST API with CRUD operations and webhook support. You can also call the API from Airtable's own scripting blocks.

Is the record limit per base or per workspace?

Per base. You can have multiple bases in a workspace, each with its own record limit. Splitting a large dataset across bases is a common workaround.

Can I use Airtable offline?

Limited offline mode in the mobile app. The web app requires an internet connection. If you need true offline editing, Airtable is not the right tool.
