What Is Notion?

Notion is the all-in-one workspace combining notes, docs, project management, databases, and wikis into one flexible platform. Founded in 2016, Notion has raised over $340M and serves over 100 million users globally. The product became the default knowledge management tool for startups, remote teams, and individual productivity geeks.

The pitch is "one tool replaces ten." Where teams previously used Confluence for wikis, Asana for projects, Google Docs for documents, and Airtable for databases, Notion bundles all four into one workspace with consistent UX. Pages contain blocks of text, databases, embeds, code, and nested pages. Databases support multiple views (table, board, timeline, calendar, gallery). The flexibility is the feature.

The product targets startups building internal wikis, remote teams coordinating async work, solo creators organizing personal projects, and enterprises adopting modern knowledge management. Less suited for high-volume document collaboration (Google Docs still better) or complex project management (Asana or Jira more specialized).

How Notion Works

Everything is a page. Pages contain blocks: text, headings, lists, callouts, code, images, videos, embeds, sub-pages, and databases. Drag blocks to reorder; nest pages within pages to build hierarchies. The flexibility means a Notion workspace looks different across teams; some use it as a wiki, others as a project tool, others as a personal Bible.

Databases are spreadsheet-like collections of pages. Each row is a page; columns are properties (text, number, date, person, tags, status, relations). Views slice the same database differently: table view for spreadsheet feel, board view for Kanban, calendar for scheduling, timeline for Gantt charts. Filter and sort customize per view.

Relations and rollups create database connections. Link projects to tasks; sum task hours into project totals. Build complex linked structures without coding.

Notion AI adds AI assistance across the workspace. Generate text, summarize meetings, extract action items, translate content, brainstorm ideas. Q&A answers questions across your workspace ("what did we decide about Q1 budget?"). Pricing per user adds to base subscription.

How Notion works

Notion is a single workspace that merges documents, a company knowledge base, project and task management, and a calendar into one linked system. The point is that notes, specs and the project tracker live in the same place instead of being spread across three separate tools. You build a workspace out of nested pages and databases, then layer on teamspaces, permissions and connected apps.

Integrations pull in Gmail, Slack, GitHub, Google Drive, HubSpot and Jira, and that is what makes the AI features worth anything: Enterprise Search and the agents read across those sources, not just across Notion pages. The AI layer itself has become the main pitch. Notion AI writes and edits inside pages, autofills database properties and formulas, transcribes and summarizes meetings, runs a Research Mode for longer reports, and searches connected apps. Custom Agents go further, running scheduled or triggered multi-step workflows: question answering over your own docs, routing and prioritizing incoming tasks, generating recurring reports.

Agents are configured with a trigger (a schedule or an event) plus a task, and then run unattended. Notion positions the AI as model-agnostic, so you can switch a workflow to a different model or provider without losing its context, though the site does not name which providers those are. Access control scales up through the plans: SAML SSO and granular database permissions arrive at Business, while SCIM provisioning, audit logs and domain management are Enterprise.

Where Notion wins

• Databases with multiple views are the real differentiator. The same records render as a table, board, calendar or list, so a doc, a roadmap and a task queue are one dataset instead of three copies drifting apart.
• The AI reaches outside Notion. Enterprise Search and agents work over Slack, Google Drive and GitHub, so the answer engine covers the whole stack rather than only the wiki.
• AI Meeting Notes lands where the work is. Transcription and summaries happen in place, so the output sits in the same workspace as the project it belongs to.
• The free tier is genuinely usable for individuals. Unlimited pages and blocks for solo users, up to 10 external guests, and Notion Calendar included.
• Scale means templates and community. Over 100 million users, and Notion cites 62% of the Fortune 100 plus more than half of Y Combinator companies.

Where it falls short

• The AI you are sold is mostly not in the plan you buy. Notion Agents, AI Meeting Notes and Enterprise Search require Business at €19.50 per seat per month. Free, Plus and even Business list Notion AI as a "Limited Trial", and always-on Custom Agents are a separate credit add-on at $10 per 1,000 monthly credits.
• Free-tier constraints bite quickly. 5 MB per file upload, 7-day page history, and the unlimited pages and blocks allowance stops applying the moment a second member joins.
• Per-seat pricing punishes occasional users. Anyone who needs edit access is a full seat, and the jump from Plus to Business is more than double (€9.50 to €19.50).
• Zero data retention with LLM providers is Enterprise-only. That effectively forces regulated teams into custom pricing before they can use the AI at all.
• Headline features carry caveats. Enterprise Search is still labeled Beta, and Notion states that AI access "can be temporarily reduced depending on your usage", which is an undefined throttle.

Who should use Notion

Notion suits small to mid-sized teams that want their wiki, docs and project tracker to be one linked system, and that are willing to put in the work of structuring databases properly. Free is fine for individuals. Plus works for a small team whose main need is collaboration. Only buy Business if you specifically want the AI agents, meeting notes and cross-app search, because that is the tier where those actually exist rather than being a trial.

Skip it if you need hard per-file storage headroom on a budget, if a large share of your users are read-only or occasional (per-seat billing makes that expensive), or if you need strict data-retention guarantees without signing an enterprise contract.
