Editorial review. We tested Shoeboxed hands-on for this writeup. Pricing, feature claims, and integrations were verified against the vendor site as of July 2026. We have no paid relationship influencing the score.

What Is Shoeboxed?

Shoeboxed is the receipt scanning and expense management service that converts paper receipts into searchable digital records. Founded in 2007, Shoeboxed pioneered the "send us your shoebox of receipts" model with the Magic Envelope mail-in service, plus mobile scanning for digital workflows.

The pitch is tax-time relief and audit protection. Small business owners and freelancers accumulate hundreds of receipts annually that they need to track for tax deductions. Shoeboxed handles the data entry: extract vendor, date, amount, and category from each receipt; create IRS-accepted digital records; export to accounting software.

The Magic Envelope service is unique. Send physical receipts in a pre-paid envelope; Shoeboxed's team scans, categorizes, and digitizes them for you. For business owners who hate data entry, this human-powered service replaces hours of manual receipt logging.

How Shoeboxed Works

Capture receipts three ways. Snap photos in the mobile app and they auto-process. Email receipts to your Shoeboxed inbox; the system extracts and stores them. Mail physical receipts in the Magic Envelope for human processing.

Each receipt processes through OCR or human review (Magic Envelope). Extracted data includes vendor, date, amount, tax, and category. You can customize categories to match your accounting structure (Travel, Meals, Office Supplies, etc.).

Receipts store in your secure online vault. Search by vendor, date range, amount, or category to find specific records during tax preparation or audits. The IRS accepts properly stored digital receipts as primary documentation.

Export options include QuickBooks, Xero, Wave, and CSV for manual import. Most users set up automatic sync so expenses flow to accounting without manual entry.

Mileage tracking and business card management round out the service. Business cards scan through the same workflow; mileage logs from the mobile app track business driving for the $0.67/mile (2025 rate) deduction.

Where Shoeboxed Wins

  • Magic Envelope: unique human-powered receipt processing.
  • IRS-accepted records: digital records that hold up in audits.
  • Accounting integrations: QuickBooks, Xero, Wave sync.
  • Multiple capture methods: mobile, email, mail.
  • Long-running stability: 18+ years in business.

Where It Falls Short

  • Less automation than Expensify: receipt scanning is one piece of broader expense management.
  • UI feels dated: works but visually older than newer competitors.
  • Per-receipt limits: heavy users may exceed plan caps.
  • Not a full expense management system: limited reimbursement workflows, no corporate card features.

Shoeboxed vs Expensify vs Dext vs Receipt Bank

Expensify is the broader expense management leader with corporate cards, reimbursement workflows, and advanced approval rules.

Dext targets accountants with stronger bookkeeping focus. Better for accountants serving SMB clients.

Receipt Bank rebranded to Dext in 2021.

QuickBooks Receipt Capture is included free with QuickBooks Online subscriptions.

Who Should Use Shoeboxed

Small businesses with paper receipt habits: Magic Envelope is the unique value proposition.

Solo professionals and freelancers: tax-time deduction tracking without manual data entry.

Real estate agents, consultants, contractors: high receipt volume in field work.

Skip it if: you go fully digital (use Expensify or QuickBooks Receipt Capture), you need corporate card management, or you have under 50 receipts annually (manual logging may suffice).

How Shoeboxed works

Shoeboxed turns receipts, including physical paper ones, into categorized, searchable, audit-ready expense data. Its differentiator is the Magic Envelope: you stuff a prepaid envelope with loose paper receipts, mail it in, and staff at the company's Durham, NC facility scan them, extract the data, human-verify it, and either return or shred the originals to your preference. Alongside that it does phone-camera capture with OCR, email forwarding, a Gmail auto-import plugin, GPS mileage tracking, and business card scanning.

There are four ingestion paths: mail a Magic Envelope, snap photos in the iOS or Android app, forward digital receipts to a dedicated Shoeboxed email address, or install the Gmail plugin to auto-pull e-receipts. Everything lands in one account, where OCR output is checked by human reviewers rather than trusted blind. You then set up category tags and rules to auto-file receipts, tally them against roughly 15 expense categories, and generate expense reports with the receipt images attached. Output goes out as CSV or straight into QuickBooks Online, Xero, Wave, Evernote, or Dropbox. Mileage is tracked by GPS in the mobile app, and processing and support are handled by in-house US staff rather than outsourced.

The company was founded in 2007 at Duke and was acquired in late 2025 by Doug Breaker via an SBA loan. The vendor claims more than 550,000 small business owners served and describes itself as the only US receipt service that still processes paper at scale.

Where Shoeboxed wins

  • The Magic Envelope solves a problem nothing else does. You can hand over a shoebox of crumpled paper and get back clean data, with the originals returned or shredded depending on what you ask for.
  • Human verification sits on top of the OCR, which is what makes the data defensible in an audit rather than approximately right.
  • Multiple capture routes (mail, app, forwarding email, Gmail plugin) mean paper-heavy and email-heavy expense streams both land in the same ledger.
  • Unlimited GPS mileage tracking on every plan, including the $9/mo Starter. Many competitors gate this behind higher tiers.
  • A mature integration set for a tool this size: QuickBooks Online, Xero, Wave, Evernote, and Dropbox, plus CSV export and a 30-day money-back guarantee.

Where it falls short

  • Paper allowances are tight relative to the price. Starter ($97/yr) gives only 20 paper scans per year and one Magic Envelope per year. Pro ($297/yr) gives 20 paper scans per month and one envelope per quarter. Genuinely paper-heavy businesses need Paper Plus at $1,997/yr.
  • There is no free tier at all, and overages bite. Starter charges $0.30 per digital scan and $2.00 per paper scan, and every plan charges $9 for an extra Magic Envelope.
  • Integrations are gated and Starter gets none. QuickBooks Online, Xero, and Gmail receipt sync all require Pro ($297/yr) or above, so the cheapest plan is effectively a standalone archive.
  • Storage is capped by plan: 2 years on Starter, 3 years on Pro, Plus, and Paper Plus. That is shorter than the retention window many tax advisors recommend, so you need your own export discipline.
  • Seats are limited (1 on Starter, 3 on Pro, 10 on Plus and Paper Plus), and mileage tracking is shared across users on multi-seat plans.
  • The late-2025 acquisition adds uncertainty. An individual buyer with SBA financing makes the roadmap and long-term investment posture less predictable than a funded vendor or one with an established parent.

Who should use Shoeboxed

Sole proprietors, contractors, and bookkeepers whose clients still generate real paper: trades, field sales, restaurants, and anyone with a glovebox full of fuel and materials receipts. That is the case where the Magic Envelope plus human verification earns its price, because no amount of app-based capture fixes a physical pile nobody wants to photograph one receipt at a time.

If your receipts are already digital and arrive by email, cheaper or bundled tools such as Expensify, QuickBooks' own capture, or Dext cover the same ground and Shoeboxed's paper advantage is wasted. And if you want accounting sync, do not bother with Starter: begin at Pro, since integrations only unlock there.
