Deputy is a workforce management platform for shift-based businesses: hospitality, retail, healthcare and services. It covers six modules (scheduling, timekeeping, compliance, HR, payroll and team communication) and positions itself as covering the lifecycle from hire to final paycheck. The company states 390,000 workplaces as customers. The core loop is simple to describe: you build a roster, staff clock in against it, timesheets get approved, and approved hours export to payroll.

Setup starts with locations and areas (work zones within a location), staff records carrying pay rates and availability, and shift templates for recurring weekly or seasonal patterns. Schedules can be built from past patterns, from templates, or by auto-scheduling, which fills shifts against demand forecasts driven by sales data and optimizes on priorities such as lowest cost or even distribution of hours. Published shifts reach staff through the mobile app or by SMS, and SMS is billed per 160 characters (1c US, 5p UK, 5c AUD, 7c rest of world). Employees can swap shifts or claim open shifts themselves, with manager approval optional.

Clock-in runs through a tablet kiosk, mobile, web or watch app. Every punch carries GPS location stamping, geofencing can block off-site punches, and kiosk face-unlock biometrics are there to stop buddy punching (Core tier and up). Where it falls short

  • No free tier, and a monthly floor. There is only a trial, plus a minimum monthly spend of $30 USD/AUD or £20 GBP per invoice on monthly Lite, Core and Pro plans. A three-person shop still pays $30/month.
  • Everyone is a billable user. Admins, managers and supervisors all count toward the user total, which inflates cost for management-heavy structures.
  • The real cost sits well above the headline. Payroll (via Paycor) is $8/user/month plus a $49 monthly base fee, HR is $2/user/month, Messaging+ is $1.95 and Analytics+ is $1.50. A fully loaded seat lands closer to $20 than $5, and Deputy Payroll is US-only on annual Core/Pro.
  • Key capabilities are gated above $5. Biometric clocking, auto-scheduling, demand forecasting and labor budgets all require Core. SSO, custom access levels, location hierarchies and pay centers require Pro at $9.
  • SMS is billed separately. Shift publishing by SMS is charged per 160 characters, and Deputy itself notes that many messages exceed that length, so notification costs vary and are easy to under-budget.
  • Stale documentation on the scheduling page. It still advertises a "starter plan" capped at 100 shifts and 100 timesheets per month, which matches no plan on the current pricing page. Confirm with sales.

Who should use Deputy

Deputy fits multi-location shift employers of roughly 20 to 500 staff: restaurants, retail chains, clinics and care providers that need rostering, compliant break and overtime handling, and clean payroll export in one system, and can accept a per-user cost that climbs as add-ons are switched on. The forecasting and compliance modules are what justify the price, so the fit is strongest where labor cost control and break rules genuinely matter.

Skip it if you only need time tracking without scheduling, since you would be paying for a rostering engine you never touch. Skip it if you have a handful of staff, because the $30 monthly floor makes the per-head cost steep. And skip it if a free tier is a requirement, because Deputy does not offer one.
