RingCentral: The enterprise standard. More features, more integrations, more expensive ($20-35/user), more complex. If you need a phone system for 50+ people with deep CRM integration, RingCentral is the safer bet.

How Calilio works
Calilio is a cloud VoIP phone system for businesses. You buy virtual local, mobile or toll-free numbers from 100+ countries and run calls, SMS/MMS and voicemail through a single unified callbox in the browser, on iOS and Android, or through a Chrome extension. There is no PBX and no hardware. It covers the standard business-telephony set (IVR, call queues, routing, forwarding, business hours, recording, transfer, and live monitoring with listen, whisper and barge) plus a sales-oriented power dialer, and it layers AI on top: real-time transcription, AI call summaries, per-call AI reports, reason-and-resolution extraction and sentiment analysis.
Setup is self-serve, and the vendor claims five minutes with no PBX involved. Each user gets one free US or Canada local number on signup. Additional numbers are $2 per number per month plus per-country pricing, some require ID and address verification, and A2P 10DLC registration is required before you can send SMS or MMS into the US. From the dashboard you configure IVR menus, agent groups, ring strategy, business hours and call routing, share numbers across the team, then work out of the callbox where calls, texts, voicemails, recordings, transcripts, notes and tags sit in one thread. - AI call intelligence is included rather than sold as a premium tier of its own. Transcription, summaries, sentiment analysis and per-call reports come with the $28/user/month Premium plan.
- An unusually deep feature list for the price: 50+ documented features including call whisper and barge, call flip, simultaneous ring, call disposition, canned responses, scheduled messages, custom caller ID and voicemail-to-email.
- Genuinely multi-device. Web dialer, iOS and Android apps, and a Chrome extension for click-to-call, so agents are not tied to a desk.
- No hardware or PBX requirement and self-serve setup, which works for small teams with no IT function to lean on.
Where it falls short
- Integrations are the weak point. The site names only Pipedrive, LeadHeed and Pabbly Connect. There is no Salesforce, HubSpot or Zendesk connector, and API access is Enterprise-only, so CRM screen-pops and call logging mean building automation glue for most stacks.
- The included usage bundles are small. Standard gives 200 outgoing and 100 incoming minutes plus 100 outbound and 100 inbound SMS per user per month. Premium gives 1,000 and 500 minutes plus 500 and 500 SMS. Real call-centre volume runs almost entirely on metered wallet overage, so the seat price understates the bill.
- Standard is capped at 10 users and withholds what most buyers want. IVR, the power dialer, live call monitoring, AI transcription and reporting, bulk SMS and 24/7 support are all Premium-only at $28 to $35 per user per month.
- No free trial is advertised. You get $1 of wallet credit, and numbers plus usage are billed separately from the subscription.
- Messaging is US and Canada-centric in practice. SMS and MMS support is framed around US and Canada numbers, some numbers need ID and address verification, A2P 10DLC registration is required for US messaging, and some numbers are available only upon request.
- Young vendor, founded in 2023, with a small integration ecosystem, which is a genuine risk if you are standardising an entire contact centre on it.
Who should use Calilio
Calilio makes sense for small and mid-sized teams, distributed sales desks and support lines that want an international number footprint and AI call notes without building on Twilio or signing a RingCentral contract. It fits best if your CRM is Pipedrive, or if you are comfortable wiring the rest through Pabbly Connect. It is a poor fit for high-volume call centres, where the thin minute bundles and metered overage push the real cost well past the headline seat price. It is also the wrong choice if you need Salesforce or HubSpot CTI working out of the box, and awkward for teams under 10 seats that still need IVR and live monitoring, since those features force the Premium tier regardless of headcount.
