Educate ChatGPT on your business context

If you want ChatGPT to effectively assist you in creating business-specific emails, it needs a solid understanding of your company, its context, what it does, and its brand.

zHere’s how you can provide it with the necessary context:

Company Overview: Start by offering a brief overview of your company, including your industry, mission, and any unique selling proposition.

Here's a sample detail you might input into ChatGPT:

My company, Techpresso, is a tech newsletter based in Paris, France. We specialize in summarizing the latest AI and tech news in a super quick and easy to read daily email. Our mission is to save our readers hours of research and our unique selling proposition is our focus on quality content in a good looking email format.

Brand Personnality and Tone: Define the tone and style of your communication. Are you more formal or casual? This will guide ChatGPT in matching your brand’s voice.

Example:

Our brand voice is both professional and approachable, showcasing our deep technical expertise in a clear and understandable way.

Since ChatGPT works so much better when you give it examples, do not hesitate to give a paragraph, an article, or something that it could use to better understand you brand voice.

If you're unsure that ChatGPT understood wel your business context, do not hesitate to make it write a paragraph or to suggest any improvements. I usually do it to make sure we can move forward.

You should now have a prompt like that:

Define and use buyer personas

A buyer persona, or customer avatar, is a semi-fictional representation of your ideal customer, based on market research and real data. It includes demographics, behavior patterns, motivations, and goals. Buyer personas are crucial for crafting effective sales emails because they enable personalization, help define a compelling value proposition, build emotional connections, and improve conversion rates.

In the next section, we’ll discuss how to define your buyer persona using ChatGPT.

First, compile all relevant information about your buyer persona. This could include age, gender, job title, industry, income level, education, location, as well as psychographic details like motivations, challenges, values, and lifestyle.

A sample persona for a newsletter might look like this:

Our ideal reader is a tech-savvy manager in a tech company, aged 28-44 with a degree in computer science or in business administration, living in the US, most likely on the East or West Coast. They love to be up to date with the latest tech news as it could impact their job or daily life. They face challenges in staying up to date with the number of daily events in the field because their job is really time consuming.

Once you have the persona, ask ChatGPT to remember it as well.

Time to make ChatGPT write the sales email

Now that ChatGPT is aware of your company, its brand, its tone, its average client and what it's doing, it's time to write the sales email!

At this point, we will generate each part of the sales email separately, to make sure to have something really optimized for conversion.

Subject Line: It should be catchy and relevant. ChatGPT can help generate creative and focused subject lines.

Prompt:

Generate 5 different subject lines for the sales email I will send to prospects, based on what I told you.

Don't hesitate to modify the output or to ask the AI to redo it. Don't forget that you are the expert and ChatGPT is just an advisor!

Body: The core message where you describe your offer and its value. It has the be concise, straight to the point, as most people will only spend a few seconds reading it?

For example:

Could you make the body of the email? Keep the email within 100 words.

Not satisfied with a part of the body? Let's iterate on it. 

Let's say you don't like the CTA. You can totally ask ChatGPT to give you 5-10 CTAs and choose the one you prefer.

I don't like the CTA. I don't want a full sentence around it and would only like a few words on that line. Could you make something more concise and straight to the point? Give me 5 CTAs and I'll choose the one I prefer. Then, give me the new body.

Finally, if you're not happy with the usual "Best, [First Name]", you can totally ask ChatGPT to make you a signature!

A simple instruction for ChatGPT could be:

Could you make me an email signature?

And that's it!

In general, since I do a lot of sales with Techpresso, I would advise to use these AI-generated emails as a starting point that you, the human, will then modify to have something as adapted as possible. I wouldn't personnally copy/paste what ChatGPT gave me into an email, but would totally use it as the starting point of an email brainstorming to see if there's a selling point that I missed for instance.
