Effortlessly convert complex PDFs into clean, structured Excel spreadsheets with a few prompts

In today's competitive business world, getting things done quickly and efficiently is crucial. Even a slight delay can cost you big. Turn any PDF into an organized Excel sheet using Manus. Whether you're dealing with invoices, contracts, reports, or messy tables, Manus makes it easy to extract the data you need and turn it into clean, editable spreadsheets — no manual copy-pasting required. It's fast, accurate, and built to save you hours of work, so you can focus on the stuff that matters the most.

In this quick tutorial, we'll show you how to quickly turn any PDF with scanned images into an organized Excel sheet. We will feed Manus a PDF that contains image-based pages and a few standard ones. The organized data will be exported in XLSX or CSV format. 

By the end of this tutorial, you'll be able to:

  • Upload a PDF and write a prompt
  • Review and clean the data
  • Export and download the file

Let's get right into it!

Step 1 -  Upload a PDF and write a prompt

Let's start with the PDF you have. If all of it is image-based, you can ask Manus to OCR the text first. After reviewing it for mistakes or misplaced numbers, ask Manus to fix the issues and regenerate it. 

Open Manus and sign in to an account or create a new one.

Before uploading the PDF and writing a prompt, go to the knowledge and add a knowledge item. It will instruct Manus to perform a task once it has completed generating the data for the Excel sheet. Click the knowledge icon at the bottom left of the screen. Click 'Add Knowledge.'

Specify the name and other details as per the following exhibit. Click 'Save.'

Ensure that the AI agent is selected from the options within the chat box. Click the upload button to upload your PDF.

While writing the prompt, ensure that you specify the names of the columns that you want in the Excel sheet. Use the following prompt. You can modify it to suit your needs. 

Prompt:

Create an Excel filled out with the following Columns:

Delivery date, 
Delivery bill number, 
Supplier address, delivery address, 
Client (Auftraggeber) address,  
Contractor (Auftragnehmer) address, 
total quantity (e.g. cubic meters or pieces), Z
Delivered Material.

Some delivery bills contain multiple goods. Account for that and create an individual row for each good.

It also converted the image-based text into an Excel sheet. 

Step 2 - Review and clean the data

Review the data, Manus generated. Carefully review it. If you find any issues, ask Manus to correct them. Discrepancies occur during the OCR step because most of the time, the image-based data is not clear. Use the following prompts to clean the data. 

Prompt:

Clean the data and format the delivery date as month/day/year. Change 'pieces' in total quantity to 'pcs.'

Step 3 - Share, export or download the file

Once you have sanitized the data and formatted the Excel sheet, you can download the file easily in Manus. You can either share the data by publishing it on a temporary site within the Manus app or by exporting the file into a preferred format. 

To share the file, click the ‘Share’ tab at the top of the chatbox screen, click 'public access', and then click 'Share.'

If you'd like to export the file, simply click the download icon at the top of the screen on the right and choose 'Download'

To export the spreadsheet to Google Drive or OneDrive, click the download button and select the corresponding action.
